What are recruiter databases?

Recruiter databases are centralized systems or platforms that store and organize information about job candidates, such as resumes, contact details, interview notes, and application statuses. These databases help recruiters efficiently search, filter, and manage candidates throughout the hiring process. They can be standalone tools or features within broader applicant tracking systems (ATS), allowing recruiters to streamline their workflows, improve communication, and maintain a talent pipeline for future opportunities.

How does a Recruiter Database professional typically collaborate with hiring managers and recruiters to improve the recruitment process?

A Recruiter Database professional plays a vital role by maintaining, updating, and optimizing candidate databases to ensure hiring managers and recruiters have access to accurate and relevant talent pools. They frequently collaborate with recruitment teams to understand job requirements, identify gaps in the database, and recommend sourcing strategies. Regular communication ensures the database aligns with evolving hiring needs, streamlining candidate shortlisting and reducing time-to-hire. This collaboration fosters a more efficient recruitment workflow and supports data-driven hiring decisions.

What are the key skills and qualifications needed to thrive as a Recruiter Database, and why are they important?

To excel as a Recruiter Database specialist, you need a solid understanding of talent acquisition, data management, and experience with applicant tracking systems (ATS) or recruitment CRM platforms. Familiarity with tools like LinkedIn Recruiter, Taleo, or iCIMS, as well as proficiency in data analysis and reporting, is typically required. Strong organizational skills, attention to detail, and effective communication help you efficiently manage candidate pipelines and collaborate with hiring teams. These skills ensure accurate tracking, fast talent matching, and streamlined recruitment processes essential for successful hiring outcomes.

About the Role
We're looking for a bilingual (English/Spanish) intern with a strong, outgoing personality who's interested in recruiting, sales, and relationship-building. This role is ideal for someone who enjoys talking to people but is also detail-oriented and comfortable working with data.

You'll support the front end of our recruiting process, helping identify, engage, and qualify candidates, while also playing a key role in maintaining the quality and accuracy of our recruiting database.

What You'll Do

  • Conduct phone screens with candidates (SLPs, teachers, and other special education professionals)
  • Schedule interviews and coordinate next steps with hiring teams
  • Utilize our applicant tracking system (ATS) to manage candidate pipelines
  • Reach out to passive candidates via phone, email, and text
  • Help market available talent to school districts and clients
  • Maintain, clean, and organize candidate data within our systems
  • Ensure data accuracy and consistency across our database and ATS
  • Perform data entry and enrichment tasks to expand and improve our candidate database
  • Assist with onboarding activities as candidates move through the hiring process
  • Support additional recruiting and HR-related projects across our partner businesses

What We're Looking For

  • Bilingual in English and Spanish (required)
  • Strong communication skills, comfortable on the phone and via email/text
  • Outgoing, “sales-type” personality with confidence talking to new people
  • High attention to detail and strong organizational skills
  • Comfortable working with data, systems, and repetitive tasks when needed
  • Interest in recruiting, HR, or business development
  • Tech-savvy and able to learn ATS/CRM systems quickly
  • Self-starter who can balance people-facing work with behind-the-scenes tasks

What You'll Gain

  • Hands-on experience in recruiting and talent acquisition
  • Real-world experience managing and improving business-critical data
  • Exposure to the education and special education space
  • Experience using ATS and CRM tools
  • Opportunity to support multiple business lines and projects
  • Mentorship from experienced HR and operations leaders
  • Potential for future full-time opportunities based on performance
