Job description

Purchasing Coordinator

The Purchasing Coordinator supports daily material purchasing and coordination across all markets. This role ensures all parts and materials are ordered accurately, tracked through delivery, and received in alignment with company standards. The Purchasing Associate plays a key role in maintaining steady material flow to warehouses and field technicians while upholding accuracy and timeliness within ServiceTitan.

What You'll Do

Purchasing & Order Execution

  • Create and manage purchase orders (POs) for inventory and non-inventory items within ServiceTitan.
  • Source materials from approved suppliers and obtain competitive pricing to support cost control initiatives.
  • Monitor replenishment levels for warehouse and vehicle stock; place orders as needed to maintain established minimums.
  • Process Parts Special-Order (PSO) requests and ensure timely order placement and delivery.
  • Track shipments and communicate order status updates to warehouse and/or field teams.
  • Confirm deliveries have been received and recorded to ensure PO closeout within ServiceTitan.
  • Support onboarding of new technicians by placing initial replenishment for their assigned vehicles.

Vendor Coordination

  • Communicate with approved suppliers to confirm order details, backorders, or substitutions.
  • Report delivery issues or discrepancies to the Manager of Purchasing & Door Fulfillment for resolution.
  • Maintain positive vendor relationships through timely communication and professionalism.

Cross-Functional Support

  • Partner with Warehouse Leads and Inventory Manager(s) to ensure inventory needs are met.
  • Collaborate with leadership to implement and follow purchasing SOPs.
  • Provide feedback on recurring order issues or process improvements.

What You'll Bring

  • 1–3 years in purchasing, inventory, or supply chain support; trades, manufacturing, or distribution experience preferred.
  • CRM/ERP system proficiency (ServiceTitan a preferred*)
  • Intermediate Excel skills preferred.
  • Clear written and verbal communication across departments and vendors.
  • Strong attention to detail, accuracy, and follow-through.
