Legal Assistant โ€“ Intellectual Property
Rochester, New York

Insero Talent Solutions is partnering with a well-respected, full-service law firm in their search for a Legal Assistant to support attorneys within its intellectual property practice groups. This position offers the opportunity to work closely with attorneys on a diverse portfolio of intellectual property matters, including domestic and international patent filings, trademark matters, litigation support, and conflicts-related work. The ideal candidate will thrive in a fast-paced, deadline-driven environment and enjoy being part of a collaborative team that values accuracy, responsiveness, and exceptional client service.

Responsibilities:

  • Support attorneys throughout the patent prosecution process, including the preparation, review, and submission of patent-related filings and supporting documentation with the U.S. Patent and Trademark Office (USPTO).
  • Coordinate domestic and international patent filing activities, working closely with foreign associates, clients, and internal stakeholders to ensure timely completion of deadlines and requirements.
  • Manage and maintain attorney dockets, proactively monitoring upcoming deadlines, identifying action items, and facilitating timely responses.
  • Prepare, edit, proofread, and format a variety of legal documents, correspondence, engagement materials, and client-facing communications.
  • Serve as a point of contact for clients, providing responsive support and assisting with administrative and procedural inquiries.
  • Assist with foreign filing strategy execution by coordinating filing instructions, obtaining client approvals, preparing cost estimates, and facilitating communication with international counsel.
  • Support matter intake, document management, billing processes, expense requests, and other administrative functions critical to the Intellectual Property practice.
  • Maintain organized electronic files and records while ensuring accuracy, confidentiality, and compliance with firm and client requirements.
  • Contribute to the overall efficiency of the practice group by anticipating needs, managing competing priorities, and supporting attorneys in a fast-paced environment.


Requirements
:

  • Associate degree in Business, Administrative Studies, Legal Studies, or a related field preferred; equivalent professional experience will also be considered.
  • 2+ years of experience supporting attorneys or legal professionals, ideally within an Intellectual Property, patent prosecution, or related legal practice environment.
  • Demonstrated ability to manage multiple deadlines, prioritize effectively, and maintain exceptional attention to detail.
  • Strong client service orientation with the ability to build positive working relationships internally and externally.
  • Excellent written communication, proofreading, and document production skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and PDF editing tools.
  • Familiarity with USPTO filings, patent prosecution procedures, Patent Center, docketing systems, or intellectual property software is highly desirable.
  • Experience coordinating international filings or working with foreign associates is a plus.
  • Ability to work independently while also collaborating effectively as part of a team.
  • Strong organizational skills, sound judgment, and a proactive approach to problem-solving.
