Purpose Statement
The job of ASSISTANT BUSINESS ADMINISTRATOR / DIRECTOR OF FINANCE is done for the purpose/s of responsibility for the leadership, operation and management of all budget, accounting, payroll and Business office operations. Provides assistance to the Business Administrator as directed, maintaining the general ledger, preparation of the annual financial statements, preparing financial reports, analysis, and projections. Implements year-end processes to close and open new budget years, providing consistency in data and reporting requirements. Responsible for the preparation of budgets, budget presentations, and re-budgeting as needed to ensure an accurate financial picture for decision makers. Responsible for compiling student data and preparation of District and State reports. Oversees fiscal program activities for federal funds. This job reports to the Business Administrator for Aspen Peaks School District.
Essential Functions
- Administers and supervises finance and payroll teams for the purpose of providing services within established timeframes and in compliance with related requirements.
- Leads and supervises the business team directors: Assistant Finance Director and Payroll Director.
- Assists in preparation of federal, state, and local financial reports for the purpose of ensuring compliance with legal, financial, and district requirements.
- Assists in tracking categorical program funds for the purpose of ensuring program operations within the budget and in accordance with fiscal practices.
- Assists in year-end closing, retirement and Social Security programs for the purpose of ensuring compliance with legal, financial, and District requirements.
- Assists in verifying teacher assignments and coding of expenses for the purpose of ensuring allocations are accurate and fiscal practices are followed.
- Monitors account number approval and assignment on requisition and purchase orders for the purpose of ensuring compliance with organizations policy and procedures.
- Oversees budget information and reports to assist decision makers for the purpose of ensuring the efficient and effective functioning of the work unit.
- Prepares reports and related documents (e.g. audit reports, year-end state reports, annual comprehensive financial report, secondary schools quarterly sales tax return, etc.) for the purpose of documenting audit activities and findings; conveying information to District Audit Committee; maintaining compliance with state reporting requirements.
- Oversees Board, District, and State reports to track expenditures and revenues versus budget for the purpose of ensuring program operations are within budget and in accordance with fiscal practices.
- Provides financial accounting and budget support for schools and department programs for the purpose of providing information and general support.
- Responsible for property taxation, analysis and recommendations for the purpose of ensuring program operations are within budget and in accordance with fiscal practices.
- Works closely with the Business Administrator and the Business team Directors to ensure financial goals and objectives are achieved for the purpose of maintaining services and programs.
Other Functions: Performs other duties as assigned for the purpose of ensuring efficient operations.
Experience: Job related experience with increasing levels of responsibility is required.
Education: Bachelor's degree in job-related area. Master's Degree in a business-related field is preferred. CPA optional.
