Job description

STS Technical Services is hiring a Program Administrator in Nashville, Tennessee, to support a key aerospace workforce program.
This hybrid position serves as the primary liaison between STS Technical Services, client leadership and contract employees. The Program Administrator will coordinate onboarding, payroll, compliance, employee support and day-to-day program administration while maintaining a visible presence at the client facility.
Position Overview
The Program Administrator provides onsite operational support throughout the contract employee lifecycle.
This role is responsible for creating a smooth onboarding experience, maintaining accurate records, responding to employee and client needs and supporting payroll, compliance and employee relations activities.
The ideal candidate is organized, customer-focused and comfortable managing multiple priorities in a fast-paced environment.
Job Details

Contractor Onboarding
  • Coordinate pre-employment onboarding activities for new contract employees
  • Verify required employment documentation and compliance requirements before employee start dates
  • Facilitate new hire orientation
  • Ensure employees are prepared for their first day
  • Coordinate client badging and site access requirements

Employee and Client Support
  • Serve as the primary onsite point of contact for contract employees and client leadership
  • Respond to employee questions regarding assignments, payroll, scheduling, compliance and company policies
  • Maintain strong communication between STS recruiters, client representatives and contract employees
  • Conduct regular floor walks
  • Maintain a visible onsite presence
  • Proactively support employee and client needs

Program Administration
  • Maintain accurate employee records
  • Maintain program documentation
  • Track active contractors and assignment status
  • Monitor workforce changes
  • Prepare reports for internal leadership and the client
  • Provide program updates as needed

Payroll and Timekeeping
  • Review employee timecards for accuracy
  • Confirm required approvals are completed
  • Work with Payroll to resolve timekeeping questions
  • Assist employees with payroll-related concerns
  • Support overtime tracking
  • Help maintain compliance with timekeeping requirements

Compliance Responsibilities
  • Ensure contractor files remain current
  • Maintain compliance with STS and client requirements
  • Support employee record audits
  • Maintain accurate compliance documentation
  • Coordinate required employee training
  • Track completion of mandatory certifications

Employee Relations
  • Support employee onboarding and offboarding
  • Coordinate assignment transitions
  • Assist with workers' compensation reporting when required
  • Support investigations involving attendance, performance or workplace concerns
  • Participate in professional conversations regarding employee issues
  • Promote a positive employee experience throughout each assignment

Qualifications
  • High school diploma or GED
  • At least two years of experience in administration, program coordination, staffing, human resources or customer service
  • Ability to make independent decisions while exercising sound judgment
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Excel, Outlook and Word
  • Ability to handle confidential information with professionalism and discretion
  • Ability to work onsite at least three days per week
  • Flexibility to increase onsite attendance as business needs require

Preferred Qualifications
  • Associate degree or bachelor's degree
  • Experience supporting a manufacturing, aerospace, aviation, engineering or industrial workforce
  • Experience using an HRIS, ATS or workforce management system
