Pmo Assistant information

What are PMO Assistants?

PMO Assistants are professionals who provide administrative and coordination support to a Project Management Office (PMO). They help ensure that projects are managed efficiently by assisting with scheduling, documentation, reporting, and communication between project teams. Their role often includes maintaining project records, tracking progress, and supporting project managers in meeting deadlines and organizational goals.

What are the key skills and qualifications needed to thrive as a PMO Assistant, and why are they important?

To thrive as a PMO Assistant, you need strong organizational skills, attention to detail, and a solid understanding of project management principles, often backed by a degree in business or a related field. Familiarity with project management tools like Microsoft Project, Jira, or Smartsheet, as well as proficiency in Microsoft Office Suite, is typically required. Excellent communication, time management, and teamwork skills help you effectively support project managers and coordinate between stakeholders. These skills ensure smooth project operations, timely reporting, and successful collaboration across teams.

What is the difference between Pmo Assistant vs Project Coordinator?

Employer & Industry UsageCommon in corporate, IT, and construction sectorsWidely used across various industries including IT, marketing, and engineering
Search & Comparison IntentOften compared for administrative support roles in project managementCompared for roles involving project task coordination

The Pmo Assistant primarily provides administrative and support functions within a project management office, focusing on documentation, scheduling, and reporting. The Project Coordinator, on the other hand, actively manages project tasks, timelines, and communication between teams. While both roles require similar skills and certifications, the Pmo Assistant typically supports the project manager, whereas the Project Coordinator takes a more hands-on role in project execution.

What are some typical challenges faced by a PMO Assistant when supporting multiple project managers simultaneously?

As a PMO Assistant, one common challenge is effectively balancing the administrative needs and priorities of several project managers at once. This often requires strong organizational skills and the ability to quickly adapt to changing schedules or project requirements. Communicating clearly and proactively is essential to ensure all managers receive timely updates and support. Additionally, maintaining accurate documentation and tracking deliverables across different projects can be demanding but is crucial for overall project success.

Ontic is a leading global aerospace OEM trusted by the world's aviation leaders. Ontic's Chatsworth, CA, site specializes in precision engineering, MRO, and new solutions for parts at risk of obsolescence. With over 1,400 employees across four time zones and seven sites, we have more than doubled in size since 2019 and are continuing to grow at pace.

Our team is looking for a Planner - PMO to join our team at Chatsworth, CA. This role is critical in providing clear operational line of sight, ensuring license projects are effectively planned, governed, and executed in alignment with PMO and site priorities. A key aspect of this role is serving as a primary analytical interface with customers and

external partners and internal stakeholders. You will work closely with Program Management, Supply Chain, Value Stream, Finance,

alignment with contractual commitments, business objectives, and PMO
    governance standards.
  • Develop, maintain, and analyze Line of Balance (LOB) reporting, providing clear
visibility to project progress and proactively identifying risks, constraints, and areas
    of concern.
  • Serve as a key analytical interface with customers and licensors, communicating
status, priorities, risks, and mitigation plans through data-driven insights.
  • Participate in and support on-site licensor working sessions, including travel as
required, to develop and validate detailed manufacturing cutover and transition
    plans.
  • Support visibility and coordination of products and services delivered from
licensors and suppliers, ensuring alignment to project demand and priorities.
  • Provide oversight and analytical guidance for work order release and ERP-related
planning activities, validating data accuracy, readiness, and sequencing in line with
PMO processes (execution remains within designated operational roles).
  • Provide Clear-To-Build (CTB) line of sight, working with IPTs and the stockroom to
ensure prioritization, kitting readiness, and escalation of issues that may impact
    execution.
  • Deliver analytical support to Value Stream teams to enable accurate MRP demand
loading and alignment with project priorities.
  • Monitor project performance using structured analytics, delivering concise, data-
backed insights to Project Managers and senior stakeholders.
  • Prepare and present Excel-based analysis, dashboards, and reports to support
SIOP, PMO reviews, and operational governance forums.
Identify and drive opportunities for process, data, and ERP workflow improvement,
    strengthening execution discipline and transparency.
Build strong working relationships across the PMO and Business-As-Usual (BAU)
teams to ensure alignment between project priorities and daily operations.
Follow and reinforce PMO processes and procedures, particularly those related to
planning, ERP governance, and project execution standards.
Willingness to travel up to 20%, including visits to licensors, suppliers, and
customer sites to support planning, cutover, and alignment activities.

Engineering, Analytics, or a related discipline.
  • 3-5+ years' experience in an operations analyst, program/project analyst, or
planning role within aerospace, defense, or a regulated manufacturing environment.

data modelling, scenario analysis, and reporting automation.
  • Proven experience developing and managing Line of Balance (LOB) or equivalent
    program-level planning tools
  • Strong understanding of ERP/MRP systems, job order management, and planning-
    related governance (Visual ERP desirable)
  • Experience supporting license transitions, manufacturing cutovers, or supplier
    onboarding activities
  • Strong analytical and problem-solving skills with the ability to communicate insights
    clearly at all organizational levels
  • Excellent stakeholder management and communication skills, including experience
    working directly with external partners
  • Highly organized, detail-oriented, and comfortable managing competing priorities in
    fast-paced environments
  • Continuous-improvement mindset with a strong focus on data accuracy,
    governance, and execution discipline
    Our Benefits:
