Reports To: Lead PMO / Project Controls Lead

About the Position:

The PMO Analyst plays a vital role in ensuring that project controls across the organization are efficient, accurate, standardized, and timely. Reporting directly to the Lead PMO, this position is responsible for bridging the gap between raw project data and actionable business intelligence.

By leveraging technology, robust data analysis, and scheduling tools, the PMO Analyst supports project teams in monitoring schedules, budgets, and contract changes. The ideal candidate will possess a continuous improvement mindset, strong technical aptitude in data systems, and the ability to collaborate effectively across departments to protect project margins and predict risks.

Primary Responsibilities:

1. Project Controls & Business Intelligence

  • Data Standardization: Support the Lead PMO in ensuring project data is collected in a standardized, validated, and structured fashion to enable continuous, self-serve reporting.
  • KPI & Dashboard Maintenance: Develop, maintain, and update Power BI reports and dashboards to translate project metrics into clear, actionable insights for stakeholders.
  • Task Automation: Identify opportunities to automate manual data tracking, eliminate duplication of effort, and streamline communication flows.
  • Performance Tracking: Assist in tracking compliance against budgeted objectives and monitor the usage of revised PMO processes and guidelines.

2. Scheduling & Progress Tracking

  • Schedule Updates: Maintain and update resource-loaded project schedules (using Microsoft Project or Primavera P6) from project award through to completion.
  • Critical Path & Variance Analysis: Track project progress, analyze critical paths, and identify potential delays or resource constraints.
  • EVM Reporting: Generate and distribute weekly/monthly schedule metrics, including Earned Value Management (EVM), Schedule Variance (SV), Cost Variance (CV), and S-Curves.
  • Risk Identification: Proactively identify and communicate schedule risks and off-plan performance to the Lead PMO and project leadership.

3. Budgeting, Forecasting & Cost Control

  • Financial Tracking: Monitor project expenditures and commitments against the Work Breakdown Structure (WBS), project budgets, and cost codes.
  • Forecasting Assistance: Collaborate with PMO Lead, operations, and finance to assist in building quarterly, long-term financial forecasts.
  • Variance & Risk Analysis: Support cost variance analysis, identify financial risks, and leverage financial modeling tools to forecast expected variances and rates of return.
  • Database Management: Maintain the accuracy of the cost database, WBS, and cost code structures.

4. Contract & Change Management Support

  • Contractual Alignment: Understand contractual requirements related to project controls, change management, and project execution.
  • Change Requests: Assist in the development, issuance, and tracking of contract change requests to document deviations in work scope.
  • Value Assessment: Support the Lead PMO in reviewing the value of work done (VOWD) to ensure all project costs are aligned with contract terms and prepared for auditing.

5. Process Improvement

  • Process Mapping: Collaborate with various departments to review and optimize existing standards, guidelines, and workflows.
  • Margin Protection: Identify areas to protect project margins, predict and mitigate risks, and reduce non-value-added tasks.
  • Training & Adoption: Assist in training stakeholders on new data collection processes, Power BI reporting tools, and PMO standards.

Competencies, Skills, and Knowledge

Technical Competencies

  • Advanced Proficiency:
    • Microsoft Office 365 Suite (Excel, Word, PowerPoint).
    • Microsoft Project and/or Primavera P6.
    • Data gathering, manipulation, and quantitative analysis.
  • Intermediate Proficiency:
    • Power BI (DAX, Power Query) and Microsoft Power Platform.
    • Earned Value Management (EVM) methodology.

Work Experience and Educational Level

  • Education: Bachelor's Degree in Engineering, Construction Management, Commerce, Finance, Accounting, or a related field.
  • Experience:
    • 1 to 3 years of direct experience in project controls, project scheduling, or a PMO analyst role.
    • Prior experience in underground mining or heavy civil construction projects is highly desirable.
    • Proven track record of building/maintaining schedules using scheduling software (MS Project/P6).
