Job description

JOB SUMMARY
The Payroll Specialist supports the end-to-end processing of weekly, in-house payroll for approximately 2,000+ employees. This role will serve as the primary backup to the Senior Payroll Specialist, providing critical support in all payroll operations. A strong focus will be placed on union payroll reporting and compliance, requiring in-depth knowledge of collective bargaining agreements, union deductions, and benefit remittances.
Customer service, both internal and external, strong analytical skills, exceptional attention to detail, the ability to thrive in a fast-paced, deadline-driven environment, and adherence to company policies and controls are the primary responsibilities of this position.
JOB RESPONSIBILITIES
Daily
• Process Manual Checks and Separations as needed
• Respond to inquiries via phone and email, exuding superior customer service to internal and external customers
• Enter changes, such as direct deposit, tax, rate, etc.
• Review and approve Travel and Expense reports
• Serve as primary backup for the Senior Payroll Specialist, supporting all payroll functions and taking full ownership in their absence
Weekly
• Process weekly payroll for approximately 2,000+ employees as needed
• Print and mail pay vouchers to employees
• Process garnishments & issue payment to vendors
• Manage employees working in multiple states
• Process weekly Union 401K ACH Draft
• Maintain and update payroll system records, including wage adjustments, new hires, terminations, and status changes
Monthly
• Manage and prepare accurate and timely monthly union payroll reports in compliance with multiple collective bargaining agreements
• Reconcile union dues, benefit contributions, and other deductions; ensure timely remittance and resolve discrepancies with union representatives as needed
Annual and Other Responsibilities
• Ensure payroll is processed in accordance with federal, state, and local laws, as well as company policies and union contracts
• Assist with improving payroll processes and procedures
• Serve on special committees from time to time as a contributing team member
• Any other duties, both within payroll and outside of payroll, as deemed necessary by management
• Assist in providing back-up for audits or other inquiries
BASIC QUALIFICATIONS
Education and Experience
• At least 3+ years of payroll experience processing
full cycle, and in-house payrolls with at least 500
employees
• Must have basic PC experience in Windows
environments, working knowledge of Word
processing, spreadsheets, e-mail, Web-enabled
applications, and database software
Knowledge, Skills, and Abilities
• Able to work with a diverse group of people
• Must be proficient in Microsoft Office and 10-key data entry
• Exceptional accuracy and attention to detail skills
• Strong customer orientation
• Capable of problem analysis and resolution
• Excellent interpersonal and communication skills
• Ability to use time productively, maximize efficiency, and meet work goals with little supervision
• Must possess and maintain an exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and others
• Must be a self-starter, with the ability to work well as part of a team and independently
PREFERRED REQUIREMENTS
• At least 1 year of union payroll experience
• Payroll experience in the construction industry with union employees and multiple CBAs
• Having a Fundamental Payroll Certification (FPC) is a plus
• 1 year of Microsoft Dynamics experience
WORKING CONDITIONS AND PHYSICAL EFFORTS
• Work is normally performed in a typical interior/office environment
• No or very limited exposure to physical risk.
