JOB SUMMARY
The Mailroom Clerk is charged with carrying out the daily work of the mail & print operations: sorting and scanning mail, responding to email and in-person requests, printing of outbound documents for various departments to be 'fulfilled' and mailed and assisting with regular inventories, upkeep, and staff interactions.
Additionally, this position will support the Policy Services team with insurance administration tasks.
JOB DETAILS
  • Location: In office position. Corporate office is in Indianapolis, IN

DUTIES AND RESPONSIBILITIES
  • Process incoming mail collection and sorting, including delivery or scanning to designated internal departments
  • Prepare outbound mail and packages
  • Maintain records of incoming checks for the organization
  • Assemble various outbound documents for mailing
  • Monitor the lobby camera/intercom system and coordinate visitor and delivery access
  • Troubleshoot inaccurate addresses within company systems
  • Support third-party vendors in obtaining missing documents
  • Process incoming faxes for the organization
  • Assist with individual and group insurance administration tasks, including new enrollments, renewals, and policy changes
  • Maintain and sort supplies for the organization
  • Maintain confidentiality and adhere to HIPAA regulations
  • Perform other duties and projects as needed
  • Ensure all operational procedures are followed

QUALIFICATIONS
  • Strong written, verbal, and interpersonal communication skills
  • Ability to handle physical duties (carrying and/or moving 50) associated with the job - lifting, bending, etc.
  • Organizational skills
  • Demonstrated proficiency with Microsoft Office (e.g. Excel, Word, and Outlook) and Adobe
  • Ensure accuracy and timeliness of receiving task
  • High School Diploma or GED
  • Prior experience in a mailroom/operations or related role
  • Data entry skills with ability to enter data quickly and accurately
  • Ability to manage your time appropriately with impending priorities/escalations
  • Exercise judgment to shift priorities and organize multiple tasks simultaneously
  • Common understanding of HIPAA, PHI, PII compliance
