Boutique virtual assistance agency, Virtually Imperative, looking for Virtual Executive Assistant to join our growing team to assist clients nationwide. We are a small team providing top notch executive assistance, project management and operational support services remotely to our clients. If you have a passion for assisting and experience as an EA/Ops/HR/PM we want to talk to you!

The ideal candidate will have the ability to perform various executive administrative tasks, including managing emails, scheduling meetings, making travel arrangements, expense reports and reconciliations, managing projects and above all else being proactive with clients in order to allow our clients to focus on other things! For this role, a strong Internet connection is required, along with experience using communication tools like Zoom and Google Meet. Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision within given deadlines.

Ideal candidates will have 3+ years of EA experience. Project management experience. Operations experience.

Responsibilities can include (dependent upon client):

  • Respond to emails and phone calls/manage multiple inboxes

  • Manage calendars

  • Book travel and accommodations

  • Manage a contact list

  • Manage projects

  • Prepare customer spreadsheets and keep online records

  • Research

  • Create presentations, as assigned

  • Proactively address clients concerns

  • Provide customer service as first point of contact

  • Take board minutes

  • Prepare company wide meeting agendas

  • Review recorded meeting notes and manage action items that are required from the CEO

  • Leads cross functional projects across the company

  • Manage 3rd party databases and CRM's

  • Create newsletters

  • Reconcile receipts with a general understanding of how to read financial documents and reports

Skills:

  • Proven experience as an assistant or project manager working in a remote environment

  • Familiarity with current technologies, like desktop sharing, cloud services and VoIP Google Suite

  • Knowledge of online calendars and scheduling (e.g. Google Calendar, Calendly, etc)

  • Excellent phone, email and instant messaging communication skills

  • Excellent time management skills

  • Top-notch organizational skills

  • Passion for learning new/skills/platforms

  • Ability to excel in an autonomous environment

  • Previous experiencing assisting C-Suite executive or Executive Director (non-profit)

This role is part time depending upon client(s), 10-20 hours/week with the ability to grow with additional clients or projects if desired. We currently are looking to assign clients to new team members as well as grow the team for future clients. 100% REMOTE, 1099 contractor opportunity. Our agency is very collaborative and looking for team members dedicated to keeping positive company culture at all times.
