International Sales & Logistics Assistant - Davie, FL
$29/hr, M-F, 8:30 AM - 5:00 PM

Key Responsibilities:

  • Provide shipping support for all international customers.
  • Advise the sales department of all orders ready to ship and follow up for instructions if applicable.
  • Prepare sales orders, invoices, packing slips, and bills of lading, including international documents such as Certificates of Origin.
  • Coordinate with Freight Forwarders and company warehouse to prepare air and ocean (reefer containers) shipments for customers.
  • Obtain analytical reports (COA) from the laboratory for customers, if requested.
  • Obtain quotes from freight forwarders to find the most cost-efficient shipping methods.
  • Prepare a daily shipping log including shipment date, customer, sales order number, invoice total, freight forwarder used, and product number.
  • Coordinate with the Accounting Department to prepare Letter of Credit documents.
  • Arrange inbound and outbound courier shipments (DHL, FedEx, UPS).
  • Maintain accurate records for each order (invoices, packing slips, analytical reports, and bills of lading) and input them into the closed order file.
  • Provide feedback to management regarding shipments.
  • Request freight forwarder quotations.
  • Support the preparation and shipping of materials, promotional items, and gifts for trade shows and customers.
  • Index scanned orders in Imaging.
  • Revise data entry of orders, invoicing, packing lists, and shipping using Visual software for assigned in-house customers.
  • Resolve discrepancies in receiving/shipping documentation for assigned in-house customers.
  • Provide support to Operations regarding revisions of packaging specifications for assigned in-house customers.
  • Work with the Warehouse team to maintain records of back orders and inventory for selected in-house customers.
  • Support the preparation of samples in collaboration with Operations and Graphic Design Departments.
  • Assist Sales and Customer Services as needed.
  • Perform other duties as assigned by the immediate supervisor.

Qualifications:

  • High School diploma required; Associate’s or Bachelor’s degree preferred.
  • 1 - 3 years of relevant experience.
  • Bilingual (English and Spanish) preferred.
  • Experience with shipping documentation.
  • Excellent customer service skills.
