As we continue to expand, we’re looking for a motivated and detail-oriented Entry-Level Project Coordinator to support the successful execution of our product launches and strategic initiatives.
POSITION PURPOSE
 
The Project Coordinator supports the Project Manager in managing customer relations and projects by coordinating with internal teams, suppliers, and customers. This role is crucial in maintaining clear communication, tracking project progress, and ensuring that customer requirements and timelines are met. The Project Coordinator works closely with sales staff, clients, and cross-functional teams to assist in the successful launch of products, focusing on timelines, cost management, and quality control.
 
ESSENTIAL FUNCTIONS AND BASIC DUTIES
 
  • Assist in sourcing components and coordinating with suppliers to support project requirements, including capability, costing, and quality assurance.
  • Help develop project scopes and objectives, involving relevant stakeholders and ensuring technical feasibility.
  • Track project timelines and deliverables, updating internal systems and stakeholders regularly.
  • Support the Project Manager in maintaining packaging standards and quality requirements with customers.
  • Assist in the preparation of program quotations, timelines, customer files, and Purchase Orders.
  • Coordinate with sales teams, designers, and engineers to facilitate meetings and gather necessary project inputs.
  • Monitor project changes and help manage adjustments to scope, schedule, and costs using appropriate verification techniques.
  • Provide administrative support in reviewing development samples, QA pieces, and production samples to ensure quality standards.
  • Communicate effectively with clients to address inquiries and resolve issues promptly.
  • Assist in ensuring compliance with project timelines, especially in packaging and formula development stages.
  • Perform other duties as assigned by the Project Manager to support project success.
QUALIFICATIONS
 
Education/Certification:  
  •  Bachelor’s Degree preferred or equivalent experience in a related field 
 Experience Required:
  •  2-3 years of experience in project coordination or a similar role, preferably within manufacturing or cosmetics.
  • Proficiency in Microsoft Office Programs (Outlook, Excel, and Word) is required.
Skills/Abilities:               
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work effectively in a team environment and independently.
  • Strong problem-solving skills and the ability to adapt to a fast-paced, deadline-driven environment.
  • Proactive, with the ability to anticipate project needs and take initiative.
  • Familiarity with project management software and tools is a plus.
  • Understanding of basic packaging and production processes in cosmetics is an advantage.
