Job description

Project Document and Data Specialist

We're seeking a Project Document Specialist to support infrastructure/utility projects with a strong focus on easement/ROW document preparation and regulatory related documentation. This role manages document control, tracks deliverables and deadlines, and ensures submission-ready, audit-ready records.

Location: TBD (on-site required)
Type: Full-time

What You'll Do
  • Prepare and assemble easement/ROW packages (agreements, exhibits, parcel docs, legal description coordination, signature routing, recordation support).

  • Maintain parcel/easement trackers and status reporting.

  • Organize and manage project documentation (tract files, correspondence, exhibits/appendices, compliance records, submission packages).

  • Apply strong document control practices: version control, naming conventions, secure storage, and distribution.

  • Coordinate with Land/ROW, Legal, Engineering, Environmental, and external partners (title, survey, landowners) to collect and validate documents.

Required Qualifications
  • Easement document preparation experience (ROW/easement packages, exhibits, execution/recording workflow).

  • Regulatory experience supporting regulatory documentation/filings/compliance records.

  • 2+ years in document control, project administration, land/ROW support, or similar (energy/utilities/infrastructure preferred).

  • Proficiency with MS Office, Adobe Acrobat/PDF tools, and document management systems (SharePoint preferred).

  • Strong attention to detail, organization, and deadline management.

Preferred: Experience with parcel tracking tools, title/curative docs, and project document management platforms.
