Job Title: Client Operations Coordinator Location-Type: Remote (EST/CST time zone preferred) Start Date: ASAP Duration: Contract, 6 months Compensation Range: $25/hr - $30/hr Benefits: Eligible for Health, Dental, Vision, and 401K Visa Sponsorship: Not eligible for visa sponsorship Job Description: This role supports the client's operations team by owning end-to-end coordination across podcast production, client communications, scheduling, reporting, and event logistics to ensure smooth and polished delivery of client-facing work. Job Summary • Own podcast preparation workflow, including client outreach, materials collection, scheduling, and recording setup coordination • Manage calendar and scheduling oversight, including monitoring booking links and keeping coordination on track across stakeholders • Draft and send polished, professional client-facing emails related to contracts, reporting, logistics, and general follow-up • Support monthly reporting by pulling data from internal platforms, updating reports, and verifying accuracy prior to final review • Coordinate event-related tasks including registration, client inquiries, and post-event follow-up outreach • Maintain CRM records and spreadsheets to ensure activity tracking and data accuracy across systems • Customize templated communications to confirm recipient-specific details, links, and contextual accuracy for each outreach Minimum Requirements: • 2-5 years of experience in an administrative, executive support, contract administration, or operations coordination role (strong candidates outside this range will be considered) • Exceptional attention to detail with demonstrated ability to customize templated documents and communications accurately • Strong professional writing skills with the ability to produce polished, client-ready emails independently • High proficiency in Microsoft Office and Outlook, including calendaring and folder navigation • Proven ability to work independently and manage multiple coordination tasks with minimal supervision • Strong interpersonal and tone awareness skills for effective client-facing communication Preferred Qualifications: • Background in executive administration, contract administration, finance, or legal support • Experience with Asana or similar project management tools • Exposure to Looker or comparable reporting platforms • Familiarity with podcast production workflows or event support • Interest in marketing, publishing, or events work beyond core administrative responsibilities • Comfort using AI tools responsibly, with human proofreading and tone oversight applied
