About The Role
Our client, a large, nationally recognized retailer with a complex footprint of physical locations, is seeking a Client Operations Coordinator (Contractor) to support compliance and property operations across building safety assets. This role is ideal for someone who thrives in a fast-paced, high-volume environment and enjoys working with detailed processes, documentation, and cross-functional coordination.
This position provides essential administrative and operational support to ensure compliance activitiesโ€”such as permits, inspections, and work ordersโ€”are tracked, documented, and completed accurately. While prior compliance experience is not required, strong organizational skills, attention to detail, and the ability to manage multiple priorities are critical to success. Training will be provided on systems, processes, and procedures. This is an onsite position with regular in-office responsibilities.
Job Description
The Client Operations Coordinator supports the Property Management team by coordinating compliance-related workflows tied to building safety systems, including fire protection, security, and vertical transportation systems (elevators/escalators).
Key Responsibilities
Administrative & Operations Support
  • Monitor, triage, and route shared inboxes related to permits, inspections, and building safety activities
  • Track permits, inspection schedules, violation notices, false alarms, work orders, and follow-up actions
  • Coordinate with internal teams, retail locations, vendors, local agencies, and offshore support partners
  • Maintain trackers and provide timely status updates, escalating issues as needed
Documentation & Record Management
  • Review inspection reports and documentation for completeness and accuracy before routing
  • Maintain organized records for inspections, violations, field service requests (FSRs), and compliance documentation
  • Prepare document packages and support ongoing recordkeeping efforts
Work Order & Invoice Support
  • Monitor work orders, aging reports, and ensure timely administrative follow-up
  • Review, validate, and route invoices for processing in accordance with established procedures
Physical Document Support
  • Sort, scan, and process incoming and outgoing mail, including permits, invoices, checks, and applications
  • Track shipments such as alarm keys and compliance-related materials
  • Support general mailing and shipping activities within the office
Reporting & Coordination
  • Maintain trackers, dashboards, checklists, and process documentation
  • Partner with offshore teams to coordinate recurring operational tasks
  • Escalate complex or time-sensitive compliance issues to appropriate stakeholders

Qualifications
Required Qualifications:

  • Experience maintaining spreadsheets, trackers, and operational documentation
  • Proven ability to manage multiple priorities in a fast-paced, high-volume environment
  • Proficiency in Microsoft Outlook, Excel, Word, and Teams
  • Strong written and verbal communication skills, with a high level of organization and attention to detail
  • Demonstrated problem-solving skills and ability to escalate issues appropriately
Preferred Qualifications:
  • Experience supporting property management, facilities, retail, construction, maintenance, or similar operational environments
  • Familiarity with work order systems, document management systems, ERP platforms, or ticketing tools
