Job description

Job Overview

We are seeking a detail-oriented and organized Bookkeeper / Administrative Assistant to join our team. This role involves managing financial records, performing bookkeeping tasks, and providing administrative support to ensure the smooth operation of our organization. The ideal candidate will have a solid understanding of accounting principles, proficiency with various accounting software, and experience handling both financial and administrative duties in a professional environment.

Duties

  • Maintain company’s financial records by recording transactions, reconciling accounts, managing invoices and payments, and processing payroll.
  • Prepares domestic and international wire transfer to company vendors.
  • Assist tax accountants by preparing required financial information.
  • Complete NYS sales tax and Form 5500.
  • Serve as internal resources for staff on company procedures.
  • Administers the company’s 401K plan.
  • Administers the company’s HR programs.
  • Performs onboarding for new hires.
  • Conducts accounts receivable follow-up with clients to ensure timely payment of invoices.
  • Monitors and maintains office supplies to ensure sufficient inventory.

Experience

  • Proven experience in bookkeeping or accounting roles with familiarity in corporate accounting environments
  • Proficiency with Intuit QuickBooks
  • Strong understanding of GAAP principles, double entry bookkeeping, account reconciliation, and general ledger accounting
  • Experience handling accounts payable/receivable, bank reconciliations, payroll processing, and tax-related tasks
  • Knowledge of financial concepts including budget management and financial analysis is preferred
  • Excellent organizational skills with the ability to manage multiple priorities efficiently
  • Strong attention to detail and accuracy in data entry and financial reporting
