Firm Description - Project Administrator

Walker Warner is an award-winning San Francisco firm with a staff of 80+ that has completed many residential, winery and hospitality projects in California, Hawaii and other Western states. This position is based out of the San Francisco office and open to a hybrid schedule once onboarding and orientation is complete.

Role Overview

The Project Administrator will provide key support to architectural Project Teams and the Architectural Operations Department allowing projects to be coordinated in a more efficient and effective manner.  This is a unique opportunity to partner closely with Project Teams and other internal departments who are passionate about the work they do and the clients and staff they support.  The Project Administrator will also be responsible for leading and developing special projects, processes, and systems in conjunction with architectural staff and will excel in this role with passion and preference to stay curious and continue to learn and grow.

 

Primary Responsibilities

  • Schedule and attend project team meetings; prepare and distribute agendas and meeting notes; track and ensure closure of key action items (Assist project teams with document management and distribution of project deliverables
  • Prepare, review and track fees and billings for the project team and its consultants
  • Act as a liaison between Project Teams and the Accounting Department by drafting, preparing, and issuing project-related accounting report and other items as needed 
  • Provide construction administration support; maintain RFI and submittal logs; upload, caption and organize site photos
  • Manage project calendar
  • Coordinate acquisition and organization of project samples and drawing sets
  • Communicate and coordinate with project team members, consultants, and contractors as required to establish critical project details and meet deadlines
  • Maintain and update project and firm data; assist in general project knowledge management and information sharing using the firm’s intranet and other resources
  • Ability to travel to local job sites during Construction. Exercise attention to detail to execute project punch lists.
  • Act as a champion for office standards with regular participation in the Architectural Operations Department 
  • Willingness to engage in meaningful work that helps the firm achieve its Vision and Strategic plan
  • Share experiences (lessons learned) and unique insight as applicable to increase the Firm’s common knowledge
  • Other duties as assigned and required of the project and or firm
 

Qualifications

  • 3 or more years of related professional experience in an office environment working with and as part of a team, preferably in a professional services organization
  • Associates or Bachelor's degree in Architecture, Design or similar field preferred or equivalent working experience
  • Prior experience working with an architecture, engineering or construction firm desirable
  • General proficiency with technology, Microsoft Office and Google Workspace apps; MacOS
  • Extremely detail-oriented with the ability to produce accurate, succinct and complete work on time 
  • Proactive and able to work independently with good judgment and minimal direction
  • Adaptable and resourceful in handling shifting priorities and tight deadlines while maintaining a friendly, positive and helpful attitude
  • Excellent verbal, written and graphic communication skills
  • Ability to maintain strict confidence and discretion of sensitive information

The hiring base annual salary range for this position will be shared when actively recruiting for this role, as required by law.  Any offer of compensation will be determined by a candidate’s education, skills, and experience as assessed during the interview process
