Job Summary: The Project Administrator works closely with the project managers and other branch leaders to ensure that projects and service assignments stay on track and meet quality standards. They are involved in the day-to-day operations of the office and serve as an interface between team members and customers.
Key Responsibilities:
  • Answer incoming phone calls.
  • Book awarded work assignments in the accounting and timekeeping systems.
  • Assist branch leaders in all administrative functions and processes including change orders, close-out documents and schedule confirmation.
  • Coordinate project insurance by assessing insurance requirements and requesting certificates of insurance.
  • Organize and implement formulated policies and procedures.
  • Provide billing support to the accounting team.
  • Assist with the daily responsibilities of the administrative department.
  • Provide administrative support to the Branch Manager and Operations Manager.
  • Other duties as assigned.

What we are looking for:
  • High School Diploma/GED required. Some college preferred.
  • 2 years' administrative or customer support experience is required.
  • Experience supporting installation and/or service in the fire/life safety industry is preferred.
  • Strong time management and organizational skills.
  • High degree of accuracy and attention to detail.
  • Great customer service skills.
  • Ability to work independently or as part of a team.
  • Clear and concise oral and written communication skills.
  • Proficiency with MS Office Suite, especially Excel and Word.
  • Overall PC Proficiency with the ability to learn and master work specific programs.
  • Strong organizational and time management skills with the ability to prioritize tasks and ensure accurate completion of assigned work.

Physical Requirements:
  • Must be able to sit for long periods of time
  • Must be able to effectively use standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines
  • Must be able to perform some repetitive motions while using a computer
  • While performing the duties of this job, the associate is regularly required to talk or hear. The associate frequently is required to sit; stand; walk; use hands to finger, handle or feel; and reach with hands and arms
