Associate Program Manager, Procurement

SUMMARY: Associate Program Manager, Procurement plays a key coordination and enablement role within the Procurement Project Management team. This position focuses on day-to-day program operations, documentation control, vendor coordination, and intake management to support the Director of Procurement Project Management and ensure consistency across team initiatives. This role emphasizes program coordination over direct project ownership, with responsibilities centered on managing shared workflows, maintaining accurate records, and supporting scalable project execution.The position requires strong organizational skills, attention to detail, critical thinking and problem-solving, and the ability to work collaboratively in a fast-paced team environment with moderate supervision.

DUTIES AND RESPONSIBILITIES (to include, but not limited to):

  • Own and manage the team PO inbox, including intake review and triage.
  • Add new lines and maintain vendor production planners based on executed purchase orders and approved changes.
  • Manage the central inventory budget financial tracking tool.
  • Coordinate with vendors to confirm production data accuracy, updates, and alignment with program initiatives.
  • Track planner updates and flag schedule, quantity, or scope discrepancies to the Director.
  • Maintain program-level documentation, templates, and trackers, to ensure consistency across the project management team.
  • Manage onboarding of new vendors into the Procurement Project Management program, submitting necessary questionnaires and documenting responses and results.
  • Ensure vendors are set up in required systems, aligned to standard documentation requirements, and trained on production planner expectations.
  • Create and maintain program level reporting, including Monthly Report Outs for Senior Leadership.
  • Conduct ad hoc research projects by analyzing specified products, vendors, or criteria, synthesizing findings into clear, organized summaries to support timely, datadriven decisionmaking by the Director.
  • Build and maintain relationships with internal and external stakeholders, especially with vendor partners.
  • Identify opportunities to improve repeatable processes, documentation standards, and data quality across the program.


MINIMUM QUALIFICATIONS:

  • Associate's degree in Business, Engineering, or equivalent (degree or experience).
  • 2-3 years of experience in a business related field.
  • Basic understanding of supply chain processes, preferably in data centers or manufacturing.
  • Proficiency with computers and industry systems and programs, including but not limited to: Microsoft Office products (especially Excel), database systems, financial systems, Smartsheet, Google Suite, internet research, scheduling programs, etc.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to multi-task, with good time management and organizational skills.
  • Eagerness to learn and thrive in a fast-paced, dynamic environment.
  • Must have a strong attention to detail.
  • Ability to maintain discretion and confidentiality.
  • Ability to travel 25%+ of the time.

Additional desired skills and experience:

  • 2+ years in project coordination, construction, or manufacturing specific fields.
  • Familiarity with construction or procurement cost tracking and documentation processes.
  • Basic knowledge of construction drawings, specifications, or project scopes.
  • Exposure to data center operations or commissioning processes.
  • Awareness of commodity management or production planning concepts.
