Overview:
The Assistant to the Director of Athletics provides comprehensive administrative and clerical support to the Director of Athletics to ensure the efficient operation of the athletic department. This position assists in coordinating athletic programs, managing communications, maintaining accurate records, processing financial and compliance documentation, and serving as a liaison between the athletic office, coaching staff, students, parents, and the community.
What You'll Do:
  • Serve as the primary administrative assistant to the Director of Athletics, managing office operations and scheduling.
  • Prepare correspondence, reports, rosters, schedules, and meeting materials for the athletic department.
  • Prepare accurate information. In a timely manner, for submission as required for the board agenda.
  • Maintain and update athletic schedules, calendars, and facility reservations using district-approved scheduling software.
  • Coordinate transportation requests and facility use for athletic events and practices.
  • Assist in the preparation and processing of athletic purchase orders, budget tracking, and financial records.
  • Process student-athlete eligibility paperwork in accordance with PIAA (Pennsylvania Interscholastic Athletic Association) regulations and district policies.
  • Initiate, maintain, and track volunteer forms and clearances for the department, in a timely manner.
  • Tracking and maintaining list of coaches and game workers to include point values and bonus points for coaches.
  • Communicate effectively with coaches, administrators, officials, and community organizations.
  • Support the organization of athletic awards, banquets, tournaments, and special events.
  • Manage incoming calls, emails, and inquiries related to athletic programs in a professional manner.
  • Assist with substitute coverage or payroll verification for coaches and event staff, as assigned.
  • Maintain confidentiality in handling sensitive information.
  • Coordinate with the Office of Human Resources to ensure fulfillment of employment requirements and adherence to compliance standards.
  • Perform other related duties as assigned by the Director of Athletics or designee.

Qualifications:
Education and Experience:
  • High school diploma or GED required; associate's degree or coursework in office administration preferred.
  • Minimum of three (3) years of secretarial or administrative experience; prior experience in a school or athletic environment preferred.

Knowledge, Skills, and Abilities:
  • Proficiency with Microsoft Office Suite, Google Workspace, and database management systems.
  • Familiarity with PIAA and district athletic procedures and compliance requirements.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to maintain professionalism and confidentiality.
  • Flexible schedule to accommodate occasional evening or weekend athletic events.

Physical Demands:
  • Ability to sit, stand, and operate office equipment for extended periods.
  • May require occasional lifting or moving of materials up to 25 pounds.

Work Environment:
