FLOATING SECRETARY

NO-BENEFITS CONTRACT POSITION

Department: Human Resources / Central Office

Supervisor: Director of Human Resources and CSFO

Employment Status: Contract โ€“ No Benefits

Up to 20 hours per week

Position Summary

The Floating Secretary provides temporary and flexible clerical, administrative, and secretarial support throughout the Lauderdale County School System. This position is designed to provide coverage for schools, departments, and offices when a regular secretary is absent, when vacancies occur, or when additional administrative support is needed.

The Floating Secretary may be assigned to different schools, departments, or Board of Education offices based on district needs and must be able to adapt quickly to different work environments, procedures, and responsibilities.

Essential Duties and Responsibilities

  • Provide temporary secretarial and clerical coverage for schools, departments, and Board of Education offices.
  • Answer and direct telephone calls, emails, and other communications in a professional and timely manner.
  • Greet and assist employees, parents, students, visitors, vendors, and the public.
  • Maintain accurate records, files, forms, correspondence, and other documentation.
  • Enter, update, and retrieve information using district computer systems and software.
  • Prepare correspondence, reports, forms, spreadsheets, schedules, and other documents.
  • Assist administrators and department personnel with daily office operations.
  • Process and maintain confidential personnel, student, financial, and administrative information as assigned.
  • Assist with attendance, enrollment, purchasing, payroll documentation, invoices, and other office functions as directed.
  • Assist with Frontline, Microsoft Office, Google Workspace, or other district systems as needed.
  • Assist with filing, scanning, copying, data entry, and digitization of records.
  • Maintain organized electronic and paper files in accordance with district procedures.
  • Assist with meetings, calendars, appointments, and other administrative activities.
  • Provide coverage for front-office responsibilities and maintain a professional and welcoming environment.
  • Follow established Lauderdale County Board of Education policies, procedures, and administrative directives.
  • Maintain confidentiality of all student, employee, and district information.
  • Assist with special projects and district initiatives as assigned.
  • Perform other duties consistent with the position as assigned by the Superintendent or designee.

Required Qualifications

  • High school diploma or equivalent.
  • Demonstrated clerical, secretarial, office, or administrative experience preferred.
  • Strong organizational and time-management skills.
  • Proficiency in basic computer operations and common office software.
  • Ability to communicate effectively, professionally, and courteously.
  • Ability to maintain accurate records and handle confidential information.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to adapt to changing assignments and work locations.
  • Ability to establish and maintain effective working relationships with employees, students, parents, administrators, and the public.

Preferred Qualifications

  • Previous experience working in a school, school district, government office, or other public-sector environment.
  • Experience with student information systems, personnel systems, Frontline, Google Workspace, Microsoft Office, or similar software.
  • Knowledge of general school office procedures and terminology.

Working Conditions

The Floating Secretary may be assigned to various schools, departments, and Board of Education offices throughout the district. The employee must be willing and able to report to different work locations based on district needs.

The position requires frequent communication with employees and members of the public and may involve periods of high activity, interruptions, and changing priorities.

Physical Requirements

  • Sit, stand, and walk for extended periods.
  • Operate standard office equipment.
  • Use a computer and keyboard for extended periods.
  • Lift and carry office materials and supplies weighing up to approximately 25 pounds.
  • Bend, reach, stoop, and move throughout an office or school environment as necessary.

Compensation and Benefits

  • This is a contract position with no benefits.
  • Compensation shall be established by the Lauderdale County Board of Education and stated in the individual contract.
  • This position is not eligible for health insurance, retirement benefits, paid leave, or other employee benefits unless specifically provided in the written contract or otherwise required by applicable law.

Contract Term

Employment shall be for the period specified in the individual contract. Continued employment is contingent upon district needs, satisfactory performance, compliance with Board policies, and the terms of the contract.
