Job description

Summary/Objective
This position provides administrative support to one or more Commercial Loan Officer(s) while
assisting customers and prospective customers through managing the process of new loans while
assisting with the ongoing needs of the customers once the loan is finalized. The Administrative
Assistant is responsible for working closely with Loan Processors, Account Representatives as well
as other service providers, internal and external, to ensure that that the needs of loan customers are
handled in a timely and accurate manner.
Principal Duties

1. Assist Commercial Loan Officer with processing of new financing requests for new and existing
customers. This is accomplished through managing incoming applications, credit verifications,
preparing Commercial Loan Worksheet and Credit Memo for preparation of loan documents, and
thorough review of documents prior to closing. The Commercial Loan Assistant is charged with
working with customers to obtain all items needed for closing.
2. Fund permanent, interim and revolving financing requests for new and existing loans, ensuring
that all necessary documentation, approval, and/or inspections are complete.
3. Assist Commercial Loan Officer with the renewal, extension or rewriting of loans.
4. Answer basic customer inquiries regarding payments, loan histories, interest rates, etc. while
complying with disclosure requirements.
5. Monitor Exception Reports, contacting customers as well as insurance and other providers to clear
outstanding exceptions. Extra emphasis must be given for customers whose loans are being
presented for renewal.
6. Complete projects and special assignments of Commercial Loan Officers; establishing objectives,
determining priorities, managing time, gaining cooperation of others, monitoring progress, and
problem solving, with the ability to make adjustments to plans to obtain desired result.
7. Assist Commercial Loan Officer with daily review, approval and disposition of commercial
overdrafts.
8. Review and respond to incoming phone calls, emails and mails, received either directly or through
the Commercial Loan Officer, prioritizing and determining level of necessary response.
9. Support the bank’s strong relationship banking culture through on-going customer contact, quality
customer service and superior product knowledge.
10. Act as liaison between Commercial Loan Officer(s), and customers, bank management and other
employees while establishing relationships with those representing diverse cultures and
backgrounds.
11. Become knowledgeable with and ensure compliance with regulations of governing agencies and
industry best practices. These include but are not limited to:

  • Equal Credit Opportunity Act (Reg B)
  • HMDA (Reg C)
  • Flood Disaster Protection Act
  • Truth in Lending (Reg Z)
  • Unfair, Deceptive and Abusive Acts and Practices (Reg AA)

  • Bank Secrecy Act / Anti-Money Laundering Act
  • Privacy Act

12. Follow all Bank policies and procedures.

Other Duties
1. Assist all Commercial Loan Officers, and their customers, as may be necessary due to staffing.
2. Establish and maintain Notary Public Commission (at bank expense) and assist customers as
needed, honoring the laws that they are bound to by oath and affirmation.
3. Maintain adequate supply of documents needed for customers’ requests for departmental use.
4. Assist Commercial Loan Officer with maintaining calendar and planning meetings and events.

Essential Functions
1. As this is a front-line customer service position, attendance within policy guidelines is essential.

2. A primary function is to communicate with customers, bank employees, and others. Employee
must be able to express oneself and exchange accurate information in person, by phone and/or
email.
3. Employee must be able to input, retrieve and assess information from computer and other office
machinery.
4. Employee will operate computer and other standard office communication devices and productivity
machinery.
5. Must be able to stay in a stationary position a minimum of 50% of work hours.

Work Environment
This job operates in a bank branch office. It is a professional environment.
Position Type and Expected Hours of Work
This is typically a non-exempt full-time position. Hours may fluctuate due to work load and customer
needs, however the normal work week is expected to be 40 hours; between 8:00 a.m. and 6:00 p.m.,
Monday-Friday.
Reports To
Commercial Loan Officer(s). Although each Commercial Loan Assistant will be assigned to one (or
two) Commercial Loan Officers for duties listed within, one Officer will be charged with the scheduling
of vacations and training of all assistants. This Officer may also handle minor personnel issues as
needed.
Required Education and Experience
1. High school diploma or equivalent.
2. Five years banking with preferred three years loan-related experience. Working knowledge of
different commercial financing options is required.
