Position: Admissions Assistant

Classification: Full-time; Hourly; Non-Exempt

Primary Reporting Relationship: Admissions Director

Secondary Reporting Relationships: Head of School

Ministry Areas: Bay Area Christian School (K-12)

Interfaces: Students, parents, administrators, staff, and other stakeholders as appropriate

Job Purpose

The Admissions Assistant serves as the steward of student records and enrollment data, ensuring the highest standards of accuracy, integrity, and confidentiality across all academic and admissions processes. In close partnership with the Admissions Director, this role supports a seamless onboarding experience for new and returning students while maintaining compliance with school policies and applicable regulations. The Admissions Assistant plays a critical role in data management, process oversight, and cross-departmental coordination, requiring exceptional organizational skills, attention to detail, and a proactive, service-oriented approach. This position is committed to delivering excellence in support of students and families while faithfully upholding the school's Christian mission and values.

Major Responsibilities:

Registrar & Records Management

  • Oversee the maintenance, accuracy, and security of all student academic records (K12)
  • Manage cumulative files, transcripts, report cards, and official documentation
  • Ensure compliance with state regulations and school policies regarding student records
  • Process student enrollments, transfers, withdrawals, and re-enrollment
  • Serve as the official records custodian for the school

Admissions Leadership Support

  • Partner with the Admissions Director to support enrollment strategy and execution
  • Monitor application and enrollment data to ensure accuracy and completeness
  • Oversee admissions database systems and ensure data integrity
  • Assist in forecasting enrollment trends and generating reports
  • Provide guidance and support to admissions staff on processes and systems

Data & Systems Management

  • Maintain and optimize the student information system (SIS) and admissions platform
  • Generate reports for administration, accreditation, and compliance purposes
  • Audit records regularly to ensure accuracy and completeness
  • Coordinate data collection for internal and external reporting needs

Family & Staff Communication

  • Serve as a key point of contact for families regarding records, transcripts, and enrollment status
  • Communicate clearly and professionally with parents, faculty, and administration
  • Support families through enrollment, transfer, and graduation documentation processes

Administrative & Departmental Support

  • Assist with admissions and enrollment events as needed
  • Collaborate with academic leadership regarding grading, scheduling, and records
  • Support continuous improvement of admissions and registrar processes

Qualifications

Qualifications:

  • Bachelor's degree preferred; equivalent experience considered
  • 3+ years of experience in registrar, admissions, or school administration preferred
  • Strong knowledge of student information systems and data management
  • Exceptional attention to detail and organizational skills
  • Ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills
  • High level of discretion and ability to maintain confidentiality

Work Environment & Expectations:

  • Full-time position (40 hours per week) for 10 months of the year
  • Reduced summer schedule during the months of June and July
  • Extended breaks when school is closed for Thanksgiving, Christmas, and Spring Break
  • Occasional extended hours (with overtime pay) during peak enrollment or academic periods
  • Primarily office-based with frequent interaction with families and staff
