Schedule:

Monday - Friday | 7:30 AM - 4:30 PM 1-Hour Lunch Break

Compensation:

$16.00 - $18.00 per hour, based on experience

Position Summary

Tom Wood Volkswagen is seeking a friendly, professional, and highly organized Receptionist to serve as the first point of contact for our customers and guests. The Receptionist plays a critical role in creating a welcoming environment while supporting daily dealership operations through exceptional customer service, communication, and administrative support.

The ideal candidate enjoys working with people, thrives in a fast-paced environment, and takes pride in delivering a positive customer experience from the moment guests enter the dealership or call our store.

Essential Responsibilities

Customer Service & Guest Relations

  • Greet customers, vendors, and visitors in a warm and professional manner.
  • Create a positive first impression that reflects the Tom Wood commitment to customer service.
  • Assist guests with directions and connect them with the appropriate department or team member.
  • Maintain a clean, organized, and welcoming reception area.

Phone & Communication Management

  • Answer and direct incoming phone calls promptly and professionally.
  • Take accurate messages and ensure timely delivery to the appropriate team members.
  • Assist customers with basic dealership inquiries and route calls as needed.
  • Monitor and respond to general customer inquiries.

Administrative Support

  • Provide administrative support to dealership management and various departments.
  • Process incoming and outgoing mail and deliveries.
  • Assist with filing, data entry, document scanning, and record maintenance.
  • Support dealership events and customer communications as needed.
  • Maintain office supplies and assist with ordering when necessary.

Team Support

  • Collaborate with Sales, Service, Parts, and Administrative departments to ensure a seamless customer experience.
  • Assist with special projects and additional duties as assigned.
  • Support dealership operations while maintaining professionalism and confidentiality.

Qualifications

Required

  • High school diploma or equivalent.
  • Previous customer service, receptionist, administrative, or hospitality experience preferred.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational abilities.
  • Proficiency with Microsoft Office and basic computer systems.
  • Ability to multitask and prioritize in a fast-paced environment.
