Responsibilities

Summary:
The Administrative Assistant, under general guidance, provides high-level administrative, operational, and project support for Reentry Services leadership and related business functions in a modern, technology-enabled work environment. This position manages confidential information, coordinates communications and scheduling, supports reporting and records management, assists with budgeting, training, compliance, and internal process coordination, and serves as a key administrative resource for cross-functional teams, field locations, vendors, and internal stakeholders.

Primary Duties and Responsibilities:

  • The Administrative Assistant prepares, edits, and distributes professional correspondence, reports, presentations, memorandums, emails, agendas, meeting materials, and other communications on behalf of the supported department or leadership team.
  • Coordinates complex calendars, meetings, conference calls, training sessions, travel arrangements, event logistics, and related follow-up items while balancing competing priorities and deadlines.
  • The Administrative Assistant maintains, audits, and updates electronic records, databases, shared files, directories, trackers, spreadsheets, and other department resources to support accurate reporting, accessibility, and operational continuity.
  • Supports departmental reporting by collecting, verifying, organizing, and summarizing data related to operations, finance, training, staffing, census, payroll, invoices, purchasing, and other business activities as assigned.
  • The Administrative Assistant processes or assists with administrative transactions, including invoices, purchase card documentation, expense reports, payroll documents, vouchers, budget tracking, supply orders, and other required forms in accordance with company procedures.
  • Serves as a point of contact for internal and external inquiries, researches questions as needed, provides accurate follow-up, and directs matters to the appropriate individual or department when additional review is required.
  • Assists with HR, training, onboarding, performance evaluation tracking, compliance-related records, and other confidential employee or departmental information as directed.
  • Identifies opportunities to improve administrative workflows, increase efficiency, enhance data accuracy, strengthen document control, and support the effective use of Microsoft 365, database tools, and other business applications.
  • Provides project-based coordination or guidance to other non-exempt staff when assigned and supports special projects, initiatives, conferences, audits, and department-wide communications.
  • Provides backup support to the Administrative Assistant to the EVP, Reentry Services and CoC, and assists other Vice Presidents as needed.
  • Performs other duties as assigned.

Qualifications

Minimum Requirements:

  • High school diploma or equivalent required. Additional education, technical training, or college coursework in business administration, office management, accounting, human resources, information systems, or a related field is preferred.
  • Two (2) years of progressively responsible administrative, clerical, operational, finance, HR, or executive support experience required. Equivalent combinations of education and experience may be considered.
  • Must demonstrate strong proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, OneDrive, and other department-specific systems, databases, reporting tools, or workflow platforms.
  • Must be able to prepare accurate, professional, and concise written communications; proofread and edit materials; organize information clearly; and maintain consistent document control practices.
  • Must maintain confidentiality and exercise sound judgment when handling sensitive business, financial, employee, vendor, contract, operational, or leadership-related information.
  • Must be highly organized, detail oriented, adaptable, and able to manage multiple priorities, shifting deadlines, recurring tasks, and project-based assignments in a fast-paced office or hybrid work environment.
  • Must communicate professionally with leadership, field locations, corporate departments, clients, vendors, visitors, and other stakeholders by phone, email, virtual meeting, and in person.
  • Ability to work independently and collaboratively, take initiative, identify process improvements, support technology-enabled workflows, and provide reliable follow-through on assigned responsibilities.
