Job description

Fully Bilingual Administrative Assistant We are currently seeking for a fully Bilingual Administrative Assistant in Davie, FL who will be responsible for a variety of clerical and administrative tasks. Also to support our sales team and other department. Full time Monday- Friday 8am-5pm Essential functions and responsibilities: Filters new leads coming from a Database and replying by offering our services. Works in liaison with our Marketing Dept to allocate each new prospective client to the respective Department, according to Management criteria. Maintains and updates order reports that are pending for production, are in process, invoiced or shipped. Maintains Pilot Reports updated. Registers new orders and changes during the production process in Access applications. Processes new and invoiced orders in the Manufacturing system. Makes revisions of documents as needed throughout the production process. Prepares the invoice and packing list once the order is ready. Works in liaison with Logistics Dept. by gathering documentation as needed for shipping or to make revisions as per customers request Maintains and updates customer price list. Processes new masters request. Works in liaison with other Departments such as Registration, R&D, Regulatory, Operations etc. throughout the product development process. Assists in other functions in sales as requested by the immediate Supervisor. Qualifications: Minimum Associates degree (required) Minimum 3 years of administrative assistant experience supporting a sales team Fully bilingual English- Spanish Experience with On line Sales- (preferred) Excellent communication skills Microsoft Office suite Detail orientated and strong organizational skills
