Sales Admin & Receptionist

The Sales Administrator and Receptionist role provides the interface between the customer and sales team, while also managing and facilitating front office duties. This role interfaces with all departments of the organization. This position is focused on getting the job done right the first time by placing a high emphasis on quality of workmanship, accountability, safety, and teamwork. This entry level position ensures the timely and accurate flow of information, specifically quote and purchase order requests to and from the customer.

What You Will Do:

  • Processing customer RFQ's, quote requests from Outlook mailbox and/or fax to Inside Sales.
  • Completing data entry on quotes and purchase orders.
  • Prepares data for computer entry by compiling and sorting information to establish entry priorities.
  • Reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the team leader for resolution.
  • Delivering timely response to customer requests.
  • Collecting workflow documents for entering data into production priority lists.
  • Scanning documents.
  • Enters order data by inputting alphabetic and numeric information on keyboard.
  • Maintains data entry requirements by following data program techniques and procedures.
  • Interface with customers as necessary to ensure accurate and timely flow of orders.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Serve as receptionist by receiving visitors, answering and screening telephone calls, and providing information and materials.
  • Maintain general office organization and appearance.
  • Prepare and process incoming/outgoing mail.
  • Support all continuous improvements in safety, quality, 5S and existing processes.
  • Provide feedback to leadership to help resolve quality issues or operational improvements in regard to productivity and procedural changes.
  • Know and abide to all company rules and policies with regards to safety and conduct, including the use and maintenance of company provided PPE.
  • Embrace the cross-training culture by a willingness to learn other jobs or tasks within the facility.
  • Do daily housekeeping to ensure the work area is always clean and organized.
  • Expected Work Hours: Shift is 7:00 AM - 4:00 PM. A flexible schedule is required in regard to overtime and start time according to work volumes.
  • This position is located in the Fontana, CA office.

What You Need to Succeed:

  • High school diploma or GED.
  • 6+ months of general office or related work experience including copying, scanning and filing activities.
  • Strong computer skills, specifically typing, data entry, and Microsoft Office Suite.
  • Strong organization skills and detail orientation.
  • Customer service focused with strong communication and follow up skill.
  • Ability to work in a fast paced environment.
  • Results Driven and works well in a Team.
  • Ability to spend most of the time sitting and using office equipment, frequently using both hands to grip, hold, and type.
  • Ability to occasionally lift up to 25 pounds of supplies and materials.

Compensation: This range is provided by Allegion. Your actual pay will be based on your skills and experience.

  • The expected Base Hourly Range: $20.00 - $26.00 per hour. The actual compensation will be determined based on experience and other factors permitted by law.
