Assistant Manager of Guest Services & Retail

SUMMARY

The Assistant Manager ensures daily operations of the Gate House and gift shops run smoothly by supporting Guest Services Associates, assisting the Manager of Guest Services & Retail, and handling administrative duties.  When the Manager of Guest Services & Retail is absent, supervises Guest Services Associates during day-to-day tasks, providing customer support in day-to-day and escalated situations, and managing the overall workflow of the Gate House.  It is paramount that the Assistant Manager represents the Bloedel Reserve with the highest level of customer service and professionalism.

This is a part-time job working approximately 30 hours per week.

ESSENTIAL FUNCTIONS

1. Assists the Manager of Guest Services & Retail in realizing goals and objectives for the Gate House and gift shops.
2. Oversees the Gate House staff when the Manager of Guest Services & Retail is absent. Supervises employees, delegates tasks, manages staff problems, and designs work schedules.  
3. Creates the Guest Services’ team schedule, ensuring the team is adequately staffed and within the budget.
4. Manages and operates the online store in coordination with the Manager Guest Services & Retail Buyer.
5. Tends to visitors and customers ensuring a high level of customer service and teamwork is maintained. Answers membership and timed ticketing questions for visitors. 
6. Oversees all retail functions when the Manager of Guest Services & Retail is absent, including the online store and brick and mortar point-of-sale (POS) system. Functions as the lead cashier in the absence of the Manager of Guest Services & Retail processing register transactions and providing customer service. 
7. Participates in the Manager-on-Duty rotation and works weekly weekend shifts.
8. Ensures an orderly, clean, and visually appealing environment is maintained throughout the Gate House and gift shop.

EXPERIENCE AND QUALIFICATIONS

1. Minimum two years retail manager experience, including supervision of others
2. Demonstrated strong interpersonal communication skills; excellent verbal communication and listening skills; and excellent customer service skills. Demonstrated ability to provide excellent customer service to a diverse population.
3. Demonstrated skills at decision-making and problem-solving problems and maintains a calm demeanor during stressful and emergent situations
4. Demonstrated supervisory skills including training and delegation of duties
5. Strong attention to detail, proactive, and the ability to multitask
6. Ability to work efficiently in a fluctuating high and low traffic environment with little to no direct supervision
7. Willingness and ability to learn specialized database software or computer programs
8. Ability to maintain a sense of humor

SYSTEMS/EQUIPMENT USED

• Microsoft Excel, Word, and Outlook; BambooHR, Lightspeed POS; and Altru (CRM system)

PHYSICAL REQUIREMENTS

• The ability to lift up to 25 pounds independently
• Ability to sit, stand and work on feet for an extended period of time

WORKING CONDITIONS/HOURS

• Availability on flexible schedule (including weekends and holidays) as required
