OPPORTUNITY

This Administrative Assistant role is a great opportunity for anyone passionate about providing support to high-performing team members throughout our Knoxville office. There will be a strong focus on duties that include facility operations, time & billing, processing tax returns, and occasional front desk relief. This is a full-time hourly position (40 hours/week) which may require increased hours during month-end deadlines and busy seasons. Busy season runs January- April and September- October each year.

SCOPE OF WORK
  • Provide daily administrative support while maintaining a high level of attention to detail in all work
  • Perform all processes related to time and billing. Run billing reports, schedule billing meetings, prepare drafts, and save posted invoices to bill managers' files
  • Act as a liaison to help answer outstanding questions pertaining to invoices which might have resulted in why a payment has not been received
  • Assist internal accounting with client payment/posting questions
  • Assist clients with A/R questions and provide details, resend invoices on request, answer phone calls, enter payments, and troubleshoot with clients if they have issues setting up their accounts
  • Provide support on facility needs such as mail and coordination of packages, office supplies, machine servicing, kitchen support, keycard management, and primary contact for issuing maintenance requests
  • Primary phone and reception relief for lunch and vacations
  • Perform Ad Hoc projects as needed in support of the Knoxville office
  • Adheres to LBMC’s defined processes and procedures including the firm's policy on privacy and client confidentiality. Knows and follows the rules, regulations, and the Code of Professional Conduct of the AICPA, the Tennessee Society of CPAs, the Tennessee Board of Public Accountancy, and other regulating bodies as appropriate.
IDEAL CANDIDATE PROFILE
  • High School Diploma or GED is required, associate degree preferred
  • 3+ years Administrative or Executive Assistant work
  • Ability to work extended hours and weekends January – April, August – October, and during other peak deadlines as needed
