Job Overview

As the Accounts Payable (AP ) Supervisor, you would play an integral role in the Office's critical function of sound and efficient fiscal management and operations across Harris County. Your responsibilities as a supervisor would be supervising 8-10 AP specialists and sr. specialist, ensuring the equitable distribution and timely completion of work assignments, and resolving problems that arise throughout the day from staff, other Harris County employees and Harris County vendors. The AP Department processes 1500-2000 claims per day, so we are needing someone who is action-oriented, works with a high level of accuracy, analysis, and attention to detail, and provides outstanding customer service.

Under the general supervision of the Assistant Director, Accounts Payable, and in accordance with the policies and procedures of Harris County, the Accounts Payable Supervisor will:

  • Actively manage workflow and provide timely assistance with the day-to-day operations of the Accounts Payable Department, including monitoring the submission of supplier invoices via OpenText/AIR invoice review application, approving and posting invoices for a variety of claims, providing support and feedback to department personnel requiring assistance with tasks or questions, completing research, and advising processors on the language to include in email correspondence to suppliers and departments
  • Ensure that the payment of invoices to Harris County suppliers occurs by the required due dates.
  • Support the check printing process.
  • Analyze and interpret legal language contained in contracts and court orders and verify that any required support documentation is provided.
  • Assist various Auditor Office staff (Revenue, Grants, and Financial Accounting) with matters related to AP subledger entries.
  • Train new employees, County departments and suppliers on accounts payable policies, procedures, and practices.

Qualifications

Education

  • Bachelor's degree in accounting or other related field

Experience

  • 3+ years of relevant work experience in supervisory role

Knowledge, Skills & Abilities (KSAs)

  • Excellent verbal, listening and written communication skills.
  • Strong ability to plan and organize workload, perform under pressure, and meet deadlines.
  • Excellent problem solving, decision making, and analytical skills.
  • Proficiency in the use of MS Office with an emphasis Microsoft Excel.
  • Deep understanding of accounts payable process.
  • Sound knowledge of the contract retainage process.
  • Advanced knowledge of accounting principles and procedures.
  • Strong interpersonal skills to work with and manage people effectively.

Nature of Work

  • Physical requirements for the position are the ability to sit for extended periods of time and the ability to push/pull, lift and carry up to 40 lbs.
  • Monday - Friday | 40 hrs. per week.
  • May be required to work more than forty hours during the workweek or on weekends when special projects or deadlines need to be met.
