Role Summary

 

As an Administrative Assistant for Intellivo, you will handle general administrative functions and activities for the office, answer and direct phone calls, scan and distribute incoming mail, distribute faxes to appropriate case manager, mail, and shipping label creation, and assist office leadership in other areas as needed. To be successful in this role you must be highly organized, have a cordial and pleasant demeanor, have strong communication skills (verbal & written), able to build great rapport & relationships, be able to multi-task in a fast-paced environment, and have excellent time management.  

 

Location 

 

This role is an on-site position at 6075 Poplar Ave  Memphis, TN 38119

 

Responsibilities 

 

  • Answer and direct incoming calls 
  • Scan and distribute hard copy mail  
  • Distribute faxes to appropriate case manager 
  • Aid in maintaining inventory of office and kitchen supplies, orders new supplies as needed 
  • Assists with onboarding & offboarding workstation setup for new and exiting employees 
  • Vendor management 
  • Escort guests within office, as necessary 
  • Perform clerical and administrative tasks 
  • Receive letters / packages and distribute them 
  • Handle outgoing mail 
  • Create mail and shipping labels, as needed 
  • Perform other duties, as assigned 

 

Qualifications

  • High school diploma or equivalent required; Associate degree in office administration or related field preferred but not required 
  • At least 2-3 years of administrative and clerical experience preferred 
  • Strong working knowledge of MS Office & MS Outlook 
  • Must be able to lift up to 15 pounds at times 
  • Excellent communication skills (written & verbal) 
  • Well organized, detail oriented and flexible
