The Event & Marketing Coordinator reports to the President and is responsible for conducting a wide range of Event & Marketing activities in support of the Sales & Marketing Development team.
Initiative, decisiveness, tact, integrity, judgment, and leadership skills are essential to achieving departmental and corporate goals. Job-related contact can occur virtually with all demographic groups, with the majority of daily contacts being with Sales staff, Prospects and Customers.
Corporate Responsibility
- Working with President, Vice Presidents, Managers, Project Managers, Estimators and Salesmen in support of the Sales & Marketing goals, mission, and vision.
- Working with other managers, supervisors, and employees in support of all Sales & Marketing facets of the organization.
Event Responsibility
- Develop a complete understanding of the requirements for every event.
- Research vendors and make selections based on their creativity, quality, and cost.
- Book venues, schedule guests, draft and finalize contracts, and lock down day-of logistics.
- Develop content for event materials and work with graphic designer to produce.
- Handle day-to-day administration of events and programs, including order placements, travel planning, attendee participation, registration counts, RSVP tracking, and issues resolution.
Marketing Responsibility
- Proven success in a positive customer service experience
- Must have experience communicating to company decision makers and proven experience in overcoming objections.
- Must be extremely professional, looking for an opportunity to maximize our internal & external customer relationships.
- Place calls using contact database to identify key contacts at target companies and seek detailed qualification information to generate leads for outside sales.
- Excellent verbal and telephone communication skills
- Previous experience handling customer opportunities or issues
- Documents daily activities for all sales & marketing personal in CRM database
- Report daily, weekly progress against our sales & marketing goals.
- Maintain written and electronic records of the Corporate Marketing Schedule.
- Facilitate the creation, distribution, tracking & follow-up of all marketing material.
- Facilitate the creation, distribution, tracking & follow-up of all direct mail campaigns.
Administrative Responsibility
- Develop & Create Equipment Labels for all new & existing customers (Bar Coding).
- Develop and create sales proposal for maintenance & replacement opportunities.
- Maintaining written and electronic records of sales related leads, contacts, referrals, etc in Computer Ease.
- Update the opportunity tracking system in Pipeline daily with a weekly update presented to Executive Team and Managers.
- Facilitate the creation of a Sales Ticket for all Sale Opportunities.
- Create a Sale Folder for all Sales Tickets including a label with a Sales number and Customer information on the tab.
- Facilitate the management of the Sales Folder including the secure filing of all Lost, Future & No Interest folders.
- Audit random Sales Folders to make sure the correct sales information is included.
- Update the Installation Manpower Schedule Weekly.
Sales Responsibility
- Conducting post-sales follow-up to ensure all Sales Proposals have been accomplished per company standards, and customers are fully satisfied.
- Maintaining a working relationship with all departments to ensure familiarity with all product offerings.
- Maintaining a liaison with product representatives and local suppliers to stay abreast of product lines, promotions, trends, etc.
- Maintaining and improving sales skills via self study, seminars, etc.
- Participating in dealer and corporate sales promotions.
Job Qualifications
- Experience in event planning or event coordination in a corporate environment.
- Proven track record of creative, successful events
- Experience working with colleagues in graphic design, sales, marketing, and communications.
- Excellent organizational, communication, negotiation, and multitasking skills
- Ability to remain calm under pressure and maintain a customer-service mindset.
- Display the following characteristics: self-motivated, extrovert, tactful, organized, goal- oriented, and professional.
- Familiarity with the following software programs; CRM, Word, Excel, & Power Point
- Ability to write reports and business correspondence.

Requirements

- $55,000-$75,000 based on experience level
