Program Description:

HRTP: A Public Health Internship Program at the NYC Health Department is one of the oldest and largest public health traineeships in the country. For over 60 years, HRTP has provided the opportunity for undergraduate, graduate and professional school students to experience some of the real-life challenges of public health. By working on current relevant public health issues under the close supervision and mentorship of experienced professionals, students apply classroom learning to practical problems in a closely matched practicum. In the process, they learn critical skills needed to excel in the field.

Position Summary:

DOHMH has an opening for an HR Coordinator to coordinate the hiring of interns for the HRTP Program. Supported by the Director of Data Reporting and Analysis, the HR Coordinator will also liaise with the HRTP Programmatic Team to ensure the timely onboarding of interns each semester. The successful candidate will have experience in HR recruitment, hiring and onboarding practices, and enjoy working in a fast paced and team-based environment. The selected candidate will be an employee of Public Health Solutions, a nonprofit organization but the work will be supervised by DOHMH. 

Responsibilities:

  • Serve as the Point of Contact with HRTP, Finance and HR Central in the coordination of hiring HRTP interns each semester.
  • Coordinate the process of onboarding and offboarding approximately 120 interns per year using the Personnel Actions Tracking System (PATS) web-based application.
  • Gather all pertinent documentation from candidates for hire and hiring managers to ensure the efficient and timely processing of all interns, including updated resumes and transcripts as well as organizational charts.
  • Coordinate with the Finance team to obtain funding and position details and to reconcile payments via journal entries to individual program budgets.
  • Coordinate with the Compliance unit as well as HRIT for updates to hiring requests with PATS system.
  • Present at Monthly HRTP Review Meetings on status of personnel actions, addressing any barriers or delays with processes.
  • Effectively communicate with interns for hire and existing interns regarding various policies, internal requirements, benefits, time & leave and general work expectations, etc.
  • Perform the onboarding steps by creating employee profiles in the databank and setting up timekeeping accounts.
  • Respond to requests for information from staff, other divisions or internal agency oversight offices
  • Provide outstanding, highly professional customer service to division staff for all personnel related matters.

Qualifications and Experience:

  • At least 3 years of experience working in human resource administration or other personnel services environments.
  • Advanced skills in Microsoft Office applications.
  • Outstanding interpersonal and communication skills; and the ability to interact effectively with staff and management.
  • Excellent writing and strong organizational skills.
  • Ability to deal with high stress situations.
  • Excellent problem-solving skills.
  • Salary: $80,000-$80,000
