Architectural Review Board (ARB) Coordinator

Seeking a candidate with Building Code Enforcement and Inspection Experience.

The key focus of this position is the support, coordination, and communication of all exterior and interior projects between the Owners and Architects and/or the ARB Committee. Responsible for monitoring improvements that take place throughout Frenchman’s Creek. Monthly meetings are conducted, and communications are sent based on the meetings. ARB Coordinator is responsible to collect the proper paperwork, receive the appropriate fees and deposits and perform or have performed inspections. A key component of this process is to speak with Owners and assist throughout the project(s) to help assure the current ARB Guidelines are being followed. ARB Coordinator will periodically perform Community inspections and send any needed violation letters.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

1. Comply with Association policies and procedures as established in the Employee Handbook or as demonstrated as common practice.

2. Be familiar with and knowledgeable of ARB Manual and educate and enforce the manual guidelines and regulations with residents and professionals (architects and contractors).

3. Provide the ARB application to residents and review the completed application along with accompanying documents to ensure that the application is complete and correct.

 

4. Calculates the required ARB fees and deposits for the submitted project.

5. As the Staff Liaison, support the ARB Committee in all ARB matters including working with the Chairperson to arrange all meetings, sending meeting notices, prepare meeting agendas, provide backup materials, attend all meetings, and assist with any electronic presentations as needed, take meeting notes, and prepare meeting minutes and provide final approved minutes to the Community Association General Manager to include in backup for Board of Governors meetings.

6. Conduct site inspections to ensure compliance, including examining the construction sites for any violations, (i.e. dumpster, fence, port-o-potty, cleanup, streets, parking). Notify Owners of any violations and follow up to ensure violation is corrected.

7. Conduct community-wide residential inspections to ensure compliance with community standards, Declaration Use Restrictions and Rules and Regulations.

8. Perform Certificate of Compliance inspections for new and re-sale properties within the time period required.

9. Proactively seek and counsel Contractors on matters such as site maintenance and safety concerns. Respond to neighbor concerns in a helpful manner.

10. Notify the ARB Committee, applicant and abutting neighbors of construction, renovations and any other issues that may arise with a particular property.

11. Send well written and thorough communications to Owners and Contractors on all ARB matters up to and including notification of ARB approvals and denials, guideline promulgations, violations, emergency related matters and general communications.

12. Manage the Review Board and Inspectors to ensure an efficient and effective ARB process.

13. Charge and collect associated review fees and deposits. Maintain a complete and accurate file on all ARB matters, including Owner and Contractors agreements respective to the POA.

14. Continually look for opportunities to improve the ARB, its guidelines, and operations.

15. Perform aesthetic inspections, such as roofs, on a regular basis.

16. Be a support person to the overall operation of the office up to and including answering of phones, inputting work orders and welcoming guests to the POA office.

17. Prepare, manage, and communicate with Owners and Contractors before, during and after emergency type work, such as hurricanes.

18. Provide reports, updates, data, trends and analysis as requested from the ARB Committee, Board of Governors and management.

19. Performs other duties as assigned by the Community Association General Manager.
