Job Description

The San Diego Tourism Authority is a private, non-profit, mutual benefit corporation composed of approximately 900 member organizations, businesses, local governments, and individuals seeking a better community through the visitor industry. San Diego Tourism Authority (SDTA) members include tourism-related entities in such categories as lodging, dining, arts & attractions, shopping, and transportation, among others, as well as other companies indirectly involved in the visitor industry.

As a sales and marketing organization, the main objective of SDTA is to promote and market San Diego County as a vacation destination and meetings and convention site. SDTA also represents and supports the interests of the visitor industry as a whole.

We are looking for a seasoned Administrative Assistant to support the Chief Sales Officer (CSO), VP of Sales and Senior Director of Site & Client Experience (SDCE)

General Responsibilities:

• Schedule and coordinate meetings within the Division.

• Oversee for the administrative component of the Division budget & forecast.

• Assist with managing the CSO’s Outlook calendar and meeting requests.

• Oversee for the administrative component of the Division budget & forecast.

• Prepare month-end and ad hoc reports.

• Prepare PowerPoint presentations.

• Assist the team with short-term marketing needs as needed.

• Assist the sales and services coordinators when they are faced with tight timelines and last-minute needs

• Provide thoughts & ideas to improve efficiencies in the operation

• Prepare monthly expense reports for the CSO, VP & SDSCE

• Coordinate travel needs for the CSO, VP & DSCE including purchasing flights and requisitions

• Interact with key clients, board members, stakeholder hotels and venues

Requirements:

• Must have strong computer skills including Microsoft Office Suite

• Strong financial acumen and understanding of P&L statement: experience in excel and using pivot tables

• Proficiency with Zoom and Teams meetings

• Experience and comfort with Power Point

• Strong organizational skills with experience handling multiple tasks simultaneously

• Administrative support of executives is preferred

• Strong written and verbal communication skills with good discretion.

• Hospitality experience or collegiate hospitality program preferred.

Annualized salary range is $60,440 to $75,550 DOE.

Offer of employment will be contingent upon satisfactorily clearing background checks.
