This hybrid position is located in Oakland, with the added convenience of complimentary parking provided within the attached parking garage facility.

Summary:

Primary function is to work closely with the HR team, performing various tasks and responsibilities, including the coordination of HR policies and programs. The Human Resources Specialist is an on-site representative of the people operations team, available to assist with employee and manager questions and issues. Assists in ensuring the organization is in full compliance with applicable laws and regulations.

Essential Duties and Responsibilities:

  2. Uphold and promote our values of spirituality, innovation, compassion, quality, dignity, collaboration, advocacy and stewardship.
  3. Spends time regularly at assigned Vincentian facility, partnering with management and employees.
  4. Provide coaching to managers on HR processes and policies as needed, guide managers on processes for employee relations issues that arise.
  5. Assists with the intake, investigation, resolution, and documentation of employee relations complaints/investigations.
  6. Monitors and produces turnover and vacancy reports for all entities in collaboration with HR team.
  7. Administering exit interview surveys and conducting follow-up interviews as needed. Analyze and report on trends.
  8. Completes and processes unemployment claims, within designated deadlines.
  9. Participates in developing new approaches, policies, and procedures, to encourage continual improvements in efficiency of department and services performed.
  10. Assists in the developing of department goals, objectives, and programs.
  11. Performs internet research on a variety of HR issues and topics.
  12. Coordinates and helps create manager, supervisor and employee training sessions or Lunch and Learn sessions (scheduling, reserving rooms and managing registration process).
  13. May assist with recruitment efforts at the site level.
  14. Responsible for working with the Payroll Specialist to complete a biweekly audit of payroll information ahead of processing payroll.
  15. Coordinates engagement activities with the Engagement Manager for Vincentian, other HR team members and site employees.
  16. Coordinates and takes an active role in projects/initiatives.
  17. Participates in ad hoc committees and attends other meetings and seminars as needed.
  18. Assists with maintaining personnel files and conducts file audits after Recruiters pass along completed employee files.
  19. With the help of Recruiters, prepares for and facilitates Day One new hire orientation, including completing new hire paperwork and required computer trainings with new hires.
  20. Works with other Specialists on company-wide policy and procedure updates as needed, remaining consistent across all Vincentian facilities.
  21. Performs other related duties as required and assigned.

Education/Experience:

  1. 2 years of experience in the HR field required, including experience resolving employee relations issues preferred.
  2. Bachelor’s Degree required, a degree with a concentration in the human resource management field preferred.
  3. Keen attention to detail required
  4. Proficiency in Microsoft Office suite, especially Microsoft Word, Excel, PowerPoint, and Outlook, is required.

Work Environment:

  1. Typical work is performed in a controlled climate office environment.
  2. Knowledge of standard office equipment and software
  3. Frequent travel between facilities is required.
