DEPARTMENT: Administration

SCHEDULE/STATUS: Monday – Friday, 9:30AM to 5:30PM (with overtime flexibility), Full-Time/Non-Exempt

SUPERVISOR: Director of Administration and Director of Human Resources

LOCATION: New York City

SALARY: The salary range for this position is $55,000 - $60,000 (salary commensurate with experience), plus overtime.

We are seeking an Administrative Clerk/Floater to assist with general office support with a variety of clerical activities and related tasks. The ideal candidate will have previous experience working in the legal field and have demonstrated proficiency utilizing our Firm’s applications. This position will report to the Director of Administration and the Director of Human Resources.

PRIMARY JOB FUNCTIONS

Serve as support or back-up support to various administrative areas as needed:

Office Services

  • Distribution of incoming and outgoing packages and keep accurate records.
  • Event support and set up logistics.
  • Preparation of offices for new hires.
  • Organization of conference rooms for meetings.

Reception

  • Answer incoming calls in timely and professional manner; transfer calls as necessary.
  • Greet clients and visitors and direct them to the appropriate person, department or conference room.
  • Reserve conference rooms, coordinate related meal orders and handle meeting logistics.
  • Maintain conference room calendars.
  • Receive incoming mail and courier deliveries.
  • Provide telephone coverage for receptionist in the Los Angeles office.
  • Open and close reception area (activate call transfers to the Los Angeles receptionist, lock doors, turn off lights, etc.).

Assistant

  • Provide support as a floater to cover assistants who are out of the office. Responsibilities include the following:
    1. Type memos, correspondence, reports, and other documents as requested by attorneys.
    2. Respond and follow up on client requests in a timely manner.
  1. Maintain attorneys’ calendar for meetings, conferences, travel, and other events (domestic and international).
  2. Enter time in billing system and send invoices to clients.
  3. Prepare agendas and schedules for all applicable activities and events.
  • Handle work overflow from other assistants.
Assist with scanning and filing projects as needed.

Perform other related duties as assigned.

SPECIFIC SKILLS, KNOWLEDGE AND ABILITIES REQUIRED

  • Excellent verbal/written communication skills.
  • Ability to communicate and interact with attorneys, clients, all levels of staff and management at the firm.
  • Able to work independently and follow confidentiality protocols.
  • Strong organizational and time management skills.
  • Ability to plan and manage work under time constraints and high-pressure situations.
  • Strong analytical and critical thinking skills.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree required.
  • Proficient with MS Word, Outlook, Excel and PowerPoint.
