SERVICE ADMINISTRATOR DESCRIPTION

Summary:

- Schedule, assign, and dispatch field technicians to meet customer service requirements

- Administer customer inquiry responses

- Track work, issues, and parts procurement

- Administer data base

- Serve as a contact between field and office staff

Essential Duties & Responsibilities:

  • Prioritizes service calls, dispatches, schedules, and coordinates the work of field technicians through the dispatchers.
  • Coordinates new equipment start-ups and customer service sales department requests.
  • Liaisons with front switchboard to consistently provide a customer service contact for incoming calls.
  • Coordinates weekly service contact scheduling and setup.
  • Serves as a contact between field and office and keeps field technicians informed of status for needed parts.
  • Provides information pertaining to any customer requirement or changes to managers, supervisors, sales department, vendors, and technicians.
  • Tracks work orders.
  • Provides purchase orders for all parts and materials required.
  • Performs work in a safe manner, following safety rules, and reporting any unsafe conditions.
  • Ensures timely and accurate billing of services provided to customers and clients.
  • Other duties as assigned.

Supervisory Responsibilities:

May directly supervise HVAC field technicians in the Service Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; addressing complaints and resolving problems.

Qualifications and Requirements:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education & Experience:

High school diploma or equivalent. General experience and thorough understanding of dispatching and scheduling as would be acquired through two to five years of related experience.

Certifications/Licenses:

- Valid Driver's License

Language Skills:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Physical Demands:

Continuous speaking, hearing and visual (including close vision, distance vision, depth perception and ability to adjust focus) effort. Position requires frequent sitting at desk, walking and standing, crouching, stooping, kneeling, reaching and regularly lifting/moving up to 25 lbs., occasionally lifting/moving of up to 50 lbs. Close mental and visual attention. Work involves some irregularities and difficulties in repetitive and varied tasks, continuous general concentration. Stress due to working with a great number of personalities, work pace, and pressure will be present.

Work Environment:

Typical office environment. Noise level is usually moderate.
