Role Overview:

The Administrative Assistant is a central figure in our office, providing comprehensive administrative support to the entire team. This role encompasses a mix of general clerical duties and specific project-based tasks.

Key Responsibilities:
  • Light phone duties
  • Create, maintain, and enter information into databases accurately, timely and completely
  • Research, compile, compose, type, and distribute routine correspondence or reports such as emails, presentations, expense reports, monthly reports accurately and timely
  • Provide general clerical assistance to entire office including but not limited to printing, scanning and filing accurately and completely
  • Collate and distribute mail
  • Schedule appointments and maintain calendars
  • Schedule and coordinate staff and other meetings
  • Create and maintain filing systems, both electronic and physical
  • Ensure inventory of all office supplies and equipment is adequate
  • Organize, plan and execute meetings, events and outings for internal teams and clients accurately completely & timely
  • Ensure office is kept neat and well maintained at all times
  • Oversee kitchen duties, including ordering food for internal meetings and "Lunch & Learn" sessions.
  • Follows established work rules, policies and procedures
  • Actively engages with other members of the company to continuously strive to improve processes, create efficiencies and reduce costs
  • Cooperatively takes on other duties, roles or responsibilities as assigned

Minimum Qualifications:
  • A High School Diploma required, 2-year degree preferred
  • Excellent verbal and written communication skills
  • Excellent Organizational Skills and proven attention to detail
  • Knowledge of Microsoft Office programs

Preferred Skills:
  • Team oriented, professional, self-starter, with positive attitude and multi-tasking capability
  • Highly organized with an ability to multi-task and work under minimal supervision

Travel Requirements:
  • Travel is anticipated between 0-10%
