Job Description
Description:

Administrative Assistant: $17-$20 (Depending on experience)

Responsibilities:

  • Business transactions, process invoices, verify financial data for use in maintaining accounts payable records
  • Provide other clerical support necessary to pay obligations of the business
  • Maintain meticulous records of outstanding payables
  • Ensure the accuracy of the business’ financial documents for payment, auditing, and tax purposes
  • Protect the business against unintentional overpayment
  • Practice effective monitoring to ensure payments are made to vendors in a timely manner
  • Research and resolve account discrepancies
  • Assist customers with billing inquiries
  • Manage scheduling and appointments
  • Answer telephones, direct calls and take messages
  • Run errands and make deliveries
  • Provide great customer service
  • Perform other duties as assigned

Day to Day Duties:

  • Clarify any questionable invoice items, prices or receiving signatures
  • Prepare, post, verify, and record customer payments and transactions
  • Maintain copies of vouchers, invoices or correspondence necessary for files
  • Type periodic reports and other records
  • Obtain proper information and/or data regarding invoice payments
  • Prepare invoices including customer, date address, item description and amounts
  • Reconcile bank statements
  • Input daily bookkeeping and record keeping; processing and recording transactions
  • Drafts correspondence for standard past- due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment

Requirements:
  • Accounting Experience
  • Reliable, regular and full-time attendance is expected
  • Monday-Friday 8AM-5PM
  • Computation Skills
  • Strong written and oral communication skills
  • Excellent problem-solving skills and time management skills
  • Detail oriented and organized
  • Ability to work independently and in a high volume, fast paced environment
  • Ability to anticipate work needs and interact professionally with customers
  • Valid Driver’s License
  • Must speak English
  • High school diploma or equivalent
