Summary:

Our Fortune 100 client seeks a dynamic Administrative Assistant to provide comprehensive support to the experience design division, ensuring smooth operations and efficient communication. The ideal candidate will excel in administrative tasks, possess strong organizational skills, and demonstrate proficiency in handling various responsibilities with discretion and professionalism.


Key Responsibilities:

  • Provide administrative secretarial support to the division, with the potential to offer backup assistance to other Administrative Assistants.
  • Perform general typing tasks, including transcribing letters, reports, and memos from handwritten notes or Dictaphone recordings. Ensure accuracy in formatting and grammar while maintaining strict confidentiality.
  • Create slides for presentations as needed, showcasing proficiency in Microsoft PowerPoint.
  • Respond to routine inquiries and conduct research within established guidelines. Compile data and assemble materials for various projects.
  • Coordinate small group meetings, managing schedules, room reservations, and equipment arrangements efficiently.
  • Demonstrate proficiency in general office tasks such as copying, filing, answering phones, sorting mail, and handling fax communications.
  • Greet and assist guests/visitors in a professional manner, reflecting the company's commitment to exceptional service.
  • Support special projects and initiatives as requested, exhibiting flexibility and adaptability in fulfilling duties.
  • Provide backup coverage for phone support, vacations, or absences to ensure uninterrupted workflow.


Office/Division Administration:

  • Assist in typing transactional work, including notifying Human Resources of any changes in personnel information.
  • Maintain accurate attendance records for the division, including vacation days, sick days, and compensatory time.
  • Update division manuals and organize both general and confidential files with precision.
  • Liaise with Building Services to address facility-related issues promptly and effectively.
  • Manage a tickler file of important dates and meetings, ensuring timely reporting to department heads.
  • Facilitate disbursement requests and register division members for seminars or training sessions.
  • Execute specific special projects as assigned, demonstrating attention to detail and proactive problem-solving skills.


Qualifications:

  • Minimum one year of administrative experience with demonstrated keyboarding skills of 35 wpm or higher.
  • Proficiency in Microsoft Office Suite, with strong attention to grammar, spelling, and proofreading.
  • Ability to handle confidential materials discreetly while maintaining professionalism in all interactions.
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Demonstrated ability to work independently with initiative, meeting deadlines and exceeding expectations.
