Executive Administrative Assistant

We are seeking an Executive Level Administrative Assistant to join out team!
This position is a expected to be a 3 month temporary position to fill in for medical leave. You MUST have 3+ years of previous experience with High Level executive. The position is hybrid however you are REQUIRED to be in the office a couple times a week depending on the needs of the team. This will vary from week to week and is NOT negotiable.
PRINCIPAL RESPONSIBILITIES
Duties and responsibilities include but are not limited to.
· Provide administrative and business support to the VPs – Screen and return calls and/or messages to constituents on behalf of the VPs and Director. Maintain their business calendar by planning and scheduling internal/external meetings and teleconferences, prioritize meeting requests, protect work and downtime, and act as a gate keeper.
· Send and respond to emails from external/internal networks, maintain correspondence (i.e., providing applicable and/or necessary meeting updates to networks), schedule all meetings (primarily using the master calendar via Microsoft Outlook), stay informed on the Company’s and/or the specific team members work current work, to accurately respond to inquiries regarding supported members.
· Calendaring – Schedule meetings and related events, intentionally pay close attention to time conflicts and possible overlaps in scheduling work with other staff members to collaborate on internal meetings and events,
· Expense reports – Prepare expense reports for team members. expenses incurred on the credit card, prepare monthly documentation on work-related mileage and business expenses, and maintain ongoing filing system for record-keeping for receipts, checks, and all expense-related documents.
· Travel - Coordinate all travel needs for supported members, this includes required air travel, hotel room, and ground travel. Maintain documentation of all receipts and contact information related to each traveling opportunity.
Education:
· Bachelor’s degree preferred but not required. A minimum of five to seven years of related administrative support experience is required. Experience with supporting multiple team members.
