About our Company

Ponte Family Estate Winery opened in 2003 and is a California based company operating in the heart of the Temecula Wine Country. We have been farming our vineyards since 1984 and are a real working winery, growing and producing over 20 estate grown varietals within certified sustainable facilities.

We are located right next to our Four Diamond, 90 room, boutique hotel Ponte Vineyard Inn, and are surrounded by 300 acres of mature vineyards and views of rolling hills. We are a short drive from most of Southern California and enjoy hosting folks who want a break from city life. Our guests visit us seeking a relaxing day or overnight stay in the country.

Summary:

The HR Coordinator will provide administrative support to the Human Resources Department on all personnel matters.

Compensation: $25.00+ DOE, hourly

Essential Duties and Responsibilities:

  • Assist with benefit processing including tracking associate eligibility, annual open enrollment, monthly enrollments, and qualifying changes.
  • Assist with processing New Hires, Benefits, Terminations, Transfers, Timeclock setup, and Timeclock issues.
  • Assist with conducting employment verifications, as needed.
  • Assist with processing status changes, title changes, pay increases, department changes, and coordinate with payroll.
  • Direct associate inquires and relation matters to the HR Manager and HR Specialist.
  • Perform customer service functions by reviewing and responding to associate inquiries (non-associate relation matters.)
  • Conduct the processing of pre-employment background checks and drug screens for all 4 companies.
  • Schedule and conduct HR Orientation for new hires, including talking points, videos, safety training, and other videos per department requirements.
  • Schedule and facilitate leadership meetings and any required associate training, as needed. (Sexual Harassment, Safety Training, Leadership IQ, etc.)
  • Verify I-9 documentation during new hire orientation.
  • Calendar, track, and coordinate associate Referral Bonus payments with payroll.
  • MPP (Meal Plan Penalties) tracking, process write-ups and distribute to managers.
  • Assist with ordering, creating, and distributing name badges for new hires.
  • Print and bind associate handbooks.
  • Print and create New Hire/Orientation folders.
  • Create and maintain all HR department binders (EEO, 8850, Election to Participate, IIPP, etc.) for accuracy.
  • Create and maintain employment files. Scanning and renaming documents with pre-set naming conventions and uploading them to online HR filing system.
  • Assist with the creation of offer letters, status change letters, and termination letters.
  • Create and maintain requisition posts in ADP on a daily basis.
  • Assist with maintaining office supplies for all winery departments through Staples ordering.
  • Assist with creating and updating HR documents and job description templates, as needed.
  • Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  • Assist the HR Manager and/or HR Specialist with assigned projects.
  • Collect and verify received documents from all departments.
  • Perform any other duties as requested by the Human Resources Manager and/or HR Specialist.

Requirements:

  • High School diploma or equivalent required.
  • Bachelor's degree in Business Administration or relevant field.
  • 1-2 Administrative experience required.
  • HR experience a plus.
  • Must demonstrate the ability to maintain confidentiality at all times, handle personnel matter effectively, and handle employee and public personnel inquiries with sensitivity, tact and diplomacy.
  • Excellent organizational and time-management skills
  • Reliable and supportive team member
  • Excellent communications and interpersonal skills
  • Proficient in MS office and Adobe Pro.
  • Computer skills and knowledge of relevant software.
  • Bilingual in Spanish is a plus.
  • Experience in ADP Workforce Now is a plus.

Physical Requirements:

  • Occasional standing, walking, stooping, kneeling, twisting, squatting, and climbing stairs.
  • Occasional lifting and carrying up to 10 lbs.
  • Occasional pushing and pulling up to 10 lbs.
  • Occasional use of manual dexterity.
  • Frequent work at a rapid pace.
