JOB TITLE: Community Assistant (Part-time)

LOCATION: Capitola Apartments and Prinz-Benda Assets


REPORTS TO: Joshua Fant or anyone he appoints

FLSA Status: Part-time Employee


OVERVIEW:

The Community Assistant is held accountable in assisting the Designated Property Manager in day-to-day operations of a small property/asset totaling 90 units. Responsibilities include but not limited to administrative tasks related to leasing, marketing, compliance, and customer service at the community.


COMPENSEATION:

Hourly: $30.00/HR dependent on experience at 20/hours per week. Schedule flexible, but no remote work available. Must be onsite.


JOB DESCRIPTION

· Responsible for various administrative duties within the leasing office, such as document duplication, organizing resident files, handling resident inquiries, and managing rent payments and related materials.

· Contributes to achieving the property's revenue and occupancy objectives by assisting in sales and leasing efforts, which involve welcoming and assessing prospects, conducting property tours, and showcasing available apartments.

· Manages incoming calls, schedules property tours for potential tenants, and ensures prompt follow-up on maintenance.

· Oversee maintenance dispatching by receiving and assigning work orders to Onsite Maintenance Technician or Third-Party Vendor.

· Manage Onsite Maintenance Technician’s schedule, priorities, and duties. Work cohesively to accomplish building tasks.

· Ensures compliance by delivering physical notices and reporting any disturbances or violations to the Property Manager.

· Monitor and manage delinquent accounts and following notification procedure in accordance with Seattle law.

· Facilitates the lease preparation process by generating all necessary lease paperwork and maintaining organized resident lease files.

· Assists in managing the move-in and move-out procedures for residents.

· Demonstrates responsiveness and courteousness in addressing resident concerns and inquiries, taking swift action to resolve issues, and documenting and communicating resident requests to the relevant parties.


POSITION REQUIREMENTS

· Minimum 1 year of experience in a similar leasing or on-site role, preferably within Residential Property Management.

· High school diploma or equivalency certificate required. College degree in a relatable field preferred, but not required.

· Must be proficient in speaking, reading, and writing in English.

· Strong computer skills (MS Office, MS Teams, Zoom, property management-related software, email, internet).

· Experience with AppFolio software preferred.

· Required to maintain designated office hours. This is a part-time position and must be able to work weekends and maintain a flexible schedule as needed.

· Required valid driver’s license and vehicle or reliable transportation.

· Background check and drug screen is required.


PHYSICAL REQUIREMENTS

· Climbing: Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like, using feet and legs and/or hands and arms. Body agility is emphasized. This factor is important if the amount and kind of climbing required exceeds that required for ordinary locomotion.

· Balancing: Maintaining body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery or erratically moving surfaces. This factor is important if the amount and kind of balancing the amount and kind of balancing exceeds that needed for ordinary locomotion and maintenance of body equilibrium.

· Stooping: Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.

· Crouching: Bending the body downward and forward by bending leg and spine.

· Crawling: Moving about on hands and knees or hands and feet.

· Reaching: Extending hand(s) and arm(s) in any direction.

· Standing: Remaining upright on the feet, particularly for sustained periods of time.

· Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.

· Pushing: Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.

· Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.

· Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to-position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles.

· Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.

· Grasping: Applying pressure to an object with the fingers and palm.

· Feeling: Perceiving attributes of objects, such as size, shape, temperature, or texture by touching with skin, particularly that of fingertips.

· Talking: Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other workers accurately, loudly, or quickly.

· Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction and having the ability to receive detailed information through oral communication and making fine discriminations in sound.

· Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

· Medium work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.


CONDITIONS TO THE WORKER WILL BE SUBJECT TO IN THIS POSITION:

· The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes.

· The worker is subject to outside environmental conditions: No effective protection from weather.

· The worker is subject to both environmental conditions: Activities occur inside and outside.

· The worker is subject to noise: There is sufficient noise to cause the worker to shout in order to be heard above the ambient noise level.

· The worker is subject to vibration: Exposure to oscillating movements of the extremities or whole body.

· The worker is subject to atmospheric conditions: One or more of the following conditions that affect the respiratory system of the skin: Fumes, odors, dusts, mists, gases or poor ventilation.

· The worker is required to function in narrow aisles or passageways.
