The La Jolla Beach & Tennis Club is currently seeking a highly skilled Purchasing Clerk to join our team at our beautiful oceanfront property!

This is a seasonal position for the summer.

Pay: $17/hr


SUMMARY

Under direction of the Purchasing Supervisor, the Purchasing Clerk supports all activities of the Purchasing Department. Purchasing Clerk will have active role in ordering products, taking inventory, and data entry. Promotes and follows LJBTC, Inc.'s Signature Service standards and requirements ensuring a lasting impression of exemplary service resulting in supremely satisfied and loyal members and guests.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Handle receiving of deliveries and ensure that goods received are in compliance with purchase orders in terms of the items, quality, quantity, price and specifications.

  • Maintain records of all partial deliveries and backorders. Ensure that proper notations are made concerning short shipped items (i.e. credit advice).

  • Assist in the "month end" paperwork for Accounting (Pacer reports, discrepancies)

  • Obtain checks from accounting regarding C.O.D.'s and make accounting staff aware of all unusual circumstances.

  • Maintain records of all receipts, issues and transfers in Pacer.

  • Assist in handling the company's shipping requests

  • Conduct periodic inventory counts of all areas to reconcile and verify with records.

  • Ensure storeroom areas are kept clean, well organized, secure to prevent pilferage, and safe to minimize damage and spoilage.

  • Assist in making sure that all documentation for goods received, issued and transferred is accurate and complete. Also making sure that it is promptly passed on to Accounting for processing

  • Based on written requisitions from various departments, issue items requested in accordance with predetermined timetables.

  • Work with all department heads and managers to provide information (i.e., status of goods requested, etc.) to assist in their departments.

  • Strive to improve the quality of the company's products while minimizing costs in all areas.

  • Other duties may be assigned.

OUTCOME

To receive, store and issue products in a clean and organized environment and keep the flow of products to each outlet efficient. Maintain the company's inventories and protect and secure the company's assets by following established procedures and controls.


QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE

One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.


LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively in English to customers, vendors or employees of organization.


MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and volume. Ability to apply concepts of basic algebra and geometry.


REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations

The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and push/pull up to 200 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.


WORKING CONDITIONS


ENVIRONMENT

While performing the duties of this job, the employee occasionally works near moving mechanical parts and in outside weather conditions.


The noise level in the work environment is usually moderate to loud.

Employees in this position interact with all levels of management and fellow employees from all departments, as well as vendors. Employees must have the ability to communicate and work successfully with integrity.


SCHEDULING

This company operates seven days a week, 24 hours a day. Shifts will generally be rotated unless you were hired for a specific shift, as much as possible to be fair to everyone. At times it may be necessary to move you from your accustomed shift if business or task assignments demand. In addition, it should be understood that business needs determine the number of hours that you work.
