Title: Order Entry & Purchasing Associate
Location: Ronkonkoma, NY

Primary Purpose

The Order Entry & Purchasing Associate provides essential support to the Customer Service and Purchasing teams by accurately entering orders, assisting with purchasing activities, and maintaining clear communication across internal departments. This role focuses on execution, accuracy, and follow-through to support timely order fulfilment and product availability.


Essential FunctionsOrder Entry & Order Support
  • Accurately enter customer orders into internal systems, ensuring all order details are complete and correct
  • Track orders from entry through shipment and escalate concerns related to inventory, ship dates, or special instructions
  • Support internal teams by identifying potential order issues and assisting with resolution
  • Maintain accurate order documentation and system updates
Customer Service Support
  • Serve as a point of contact for customer inquiries related to order status and basic order questions
  • Provide timely and accurate order updates to customers and internal teams
  • Assist in resolving discrepancies and service-related issues in a professional manner
Purchasing & Sourcing Support
  • Support Purchasing and Sourcing teams with day-to-day administrative and coordination tasks
  • Assist with issuing, updating, and maintaining purchase orders under the direction of senior purchasing staff
  • Support new item and vendor setup in ERP systems
  • Follow up with vendors regarding pricing, availability, lead times, and shipment status as directed
  • Maintain Excel-based tracking reports for purchase orders and incoming inventory
Inventory & Production Support
  • Assist with tracking inventory receipts and purchase order statuses
  • Support coordination between Purchasing, Production, and Supply Chain teams to help align inventory availability with customer demand
  • Update internal tracking tools and reports to support production and fulfilment planning
Operational & Administrative Support
  • Maintain accurate records and data integrity across order entry and purchasing systems
  • Assist cross-functional teams to ensure orders move smoothly through the fulfilment process
  • Perform additional duties or special projects as assigned

Minimum Requirements
  • Minimum of one (1) year of experience in order entry, customer service, purchasing support, or a related role
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Outlook, Excel, and Word (Excel experience preferred)
  • Effective written and verbal communication skills
  • Ability to multitask and prioritize in a fast-paced, deadline-driven environment
  • Positive, team-oriented attitude with a strong sense of urgency
  • Experience in distribution, manufacturing, or promotional products environments is a plus
