Job description

Purchasing Department Administrator

This role will support our Purchasing Department by managing critical data entry tasks, particularly in Viewpoint and Salesforce, as well as assisting with various administrative functions. The ideal candidate will be detail-oriented, capable of handling multiple tasks, and proficient in using Microsoft Office and database management systems.

The Purchasing Department Administrator will work closely with the Purchasing Managers and Purchasing agents, providing vital administrative support for the department's daily operations. They will report directly to the Director of Purchasing, ensuring that all data entry, vendor management, and procurement tracking tasks are completed accurately and in a timely manner. This role will be integral to maintaining organized and efficient operations within the department, supporting both managers in their purchasing activities.

Responsibilities:

  • Accurately enter purchase orders (POs) into Viewpoint and ensure proper documentation is maintained.
  • Manage and update subcontractor and vendor databases, including Salesforce, ensuring all information is current and compliant with company standards.
  • Assist with the maintenance of tracking spreadsheets for procurement activities, purchase orders, and vendor/subcontractor records.
  • Provide administrative support to the Purchasing Department, including data entry, report generation, filing, and organizing documents.
  • Collaborate with the Purchasing team to ensure smooth communication with vendors and subcontractors regarding procurement processes.
  • Monitor purchase order status and provide updates to relevant stakeholders as necessary.
  • Assist with additional administrative duties as needed to support the Purchasing Department's efficiency and operational goals.

Qualifications:

  • Minimum of 2 years of experience in an administrative role, preferably within the construction or procurement industry.
  • Bachelor's degree in business administration, Supply Chain Management, or related field is a plus.
  • Highly organized and tech-savvy.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) is required.
  • Experience with Viewpoint, Salesforce, or similar enterprise software platforms is preferred.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize workload in a fast-paced environment.
  • High level of integrity and professionalism in dealing with confidential information.

Reports to: Director of Purchasing

Location: Farmingdale, NY

Compensation: $45,000 to $60,000 annually commensurate with experience
