Junior Procurement Agent

Hotel Renovation & New Build Services Company

Position Summary

The Junior Procurement Agent supports the procurement and project management team in sourcing, purchasing, tracking, and coordinating materials, furniture, fixtures, and equipment (FF&E) for hospitality renovation and new build projects. This role assists in maintaining vendor relationships, processing purchase orders, tracking deliveries, and ensuring products arrive on schedule and within budget.

The ideal candidate is organized, detail-oriented, and eager to grow within the hospitality construction and procurement industry.

Key Responsibilities

Procurement Support

  • Assist with sourcing materials, FF&E, operating supplies, and equipment for hotel renovation and construction projects.
  • Obtain vendor quotes and pricing for project teams.
  • Prepare and process purchase orders and procurement documentation.
  • Track products lead times and delivery schedules.
  • Maintain procurement logs, tracking reports, and project purchasing records.

Vendor Coordination

  • Communicate with manufacturers, suppliers, freight carriers, and installers.
  • Assist in maintaining vendor relationships and database information.
  • Coordinate product samples, finish submissions, and specification documents.
  • Follow up on shipment statuses, backorders, and delivery confirmations.

Project Coordination

  • Work closely with Director of Procurement, project manager, designer, and warehouse/logistics teams.
  • Support procurement schedules to align with construction timelines.
  • Assist with inventory tracking and receiving coordination.
  • Help resolve order discrepancies, damaged goods, and warranty issues.

Administrative Responsibilities

  • Organize digital procurement files and documentation.
  • Update spreadsheets, budgets, and purchasing reports.
  • Support invoice review and reconciliation processes.
  • Attend project meetings and maintain meeting notes when required.

Qualifications

Required

  • Associate's or Bachelor's degree in Business, Supply Chain, Interior Design, Construction Management, Hospitality, or related field preferred.
  • 1–3 years of procurement, purchasing, administrative, or hospitality-related experience.
  • Strong organizational, analytical and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in:
    • Microsoft Excel
    • Microsoft Outlook
    • Microsoft Word
    • Google Workspace
  • Ability to manage multiple tasks in a fast-paced environment.

Preferred

  • Experience in hospitality renovation, construction, FF&E procurement, or interior design.

  • Understanding of hotel brands and renovation projects.
