Compensation: $50,000 - $60,000 Plus a generous bonus plan
Location: Hybrid - **Coral Gables** - must be in the office the majority of the time to attend events and meet with agents.
Responsibilities
Transaction Management - a smooth transaction from contract ot close.
• Review all transaction documents to verify that signatures and dates are correct
• Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released
• Maintain accurate and compliant files for all transactions
• Understand contracts in all required States in order to summarize all important terms, conditions, and contingency dates
• Make sure inspections are arranged by the client, assist with paperwork regarding repairs, and coordinate transmission of invoices regarding repairs
• Enter contact and transaction information into CRM system, forward all necessary documentation to the Broker for file compliance, and track transaction activities
• Coordinate closing date, time, and location and notify all parties
• Act as liaison between our client, buyer, seller, attorneys, escrow companies, mortgage brokers, and other vendors during the transaction and effectively manage related administrative tasks
• Communicate with clients several times throughout the transaction regarding important dates, missing documents, calendar reminders, file compliance status, drafting addenda, etc.
• Communicate regularly with the buyer/seller to send reminders, follow up, and let them know what to expect in each step of the closing process
• Maintain communication with all third parties including lenders, inspectors, appraisers, and all agents in order to ensure a smooth closing process and share relevant information
• Draft any contract addenda needed along the way, keep a record of them on file, and ensure they are shared with relevant parties
• Be the first point of contact/resource for all questions that arise throughout the closing process
• Stay in good communication with clients if any issues arise that they need to handle or negotiate
• Notify client about utility accounts to set up/cancel
• Closeout file after the closing including changing the MLS status to closed for listings we input, double-checking the file, making an electronic copy of the ALTA/HUD/ CD (closing disclosure), coordinating commission payouts from attorney/escrow, and saving copies of closed MLS for transactions
• Other duties as assigned
Listing Coordination - a streamlined process from pre-list to contract
• Draft Listing Agreement and provide contract disclosures to the seller for their signature
• Input all information regarding a given listing in the MLS
• Review Seller-specific disclosures and compliance documents, and submit them to the brokerage
• Follow up with clients and other parties after closing to request feedback and a testimonial
• Build working relationships with vendors and representatives from different brokerages to ensure open communication
• Attend brokerage and real estate team meetings as needed/required
• Provide exceptional customer service
• Operate in both Spanish and English as needed to support clients, vendors, etc.
• Other duties as assigned
Qualifications
• Spanish language skills - read, write, and speak
• 2+ years as a Bilingual Transaction Coordinator
• 2+ years of real estate experience
• Loves working with people and is great at overcoming conflict
• Excellent communication skills
