Job Description
Guardian has a need for a Full-Time Regional Maintenance Building Systems & Safety Coordinator to join our experienced and committed team!

A Regional Maintenance Building Systems and Safety Coordinator (or Junior/Assistant Supervisor) is responsible for the oversight of properties with building systems and inspection needs to ensure that compliance is met in every aspect of maintenance operations, including workplace safety and asset preservation on Guardian managed properties. This position is responsible for ensuring that all maintenance work is done in compliance with OSHA regulations, and Guardian policies and procedures.

Schedule: 40 hours / week, Monday - Friday, 8:00am - 5:00pm.

Travel: By nature, the Regional Maintenance Building Systems & Safety Coordinator position is a traveling position and therefore requires a high degree of flexibility with scheduling and traveling to/from various locations, as well as a reliable vehicle and valid driver's license and insurance.

Compensation: $29.00 - $33.00 / hour + benefits!

Minimum Qualification Requirements:

The requirements listed below are representative, but not exclusive of the knowledge, skill and/or ability required.

  • College or Technical / Trade School – Associate degree / equivalent or higher or at least five (5) years’ experience in property maintenance or a related field.
  • Proven, elevated knowledge of building systems, such as boilers, HVAC, fire panels, fire suppression as well as building trades, such as plumbing, electric, and carpentry.
  • Have inspection experience for PMIs, Unit Turns and possess an eye for deficiencies.
  • OSHA 10 Certification (required within 120 days of hire)
  • Excellent attention to detail.
  • Ability to lift a minimum of 50 lbs.
  • Comfortable on ladders at heights of 15 feet.
  • Comfortable with flat roof access and walking on flat roofs.
  • Ability to speak, read and write in English.
  • Ability to communicate effectively and in a timely manner, both verbally and in writing.
  • Own or have access to a reliable and properly insured vehicle for use in business transportation needs, as well as possess a valid driver’s license.
  • Have well-developed leadership, management, team building and organizational skills.
  • Possess a strong customer service orientation.
  • Possess basic computer-literacy and willingness to complete regular tasks using standard computer or web-based technology.


Essential Functions:

    1. Always represent Guardian in a positive and professional manner.
    2. Assist maintenance staff in the development and implementation of safety training and compliance.
    3. Promote an attitude of safety at all properties within assigned region.
    4. Always follow confidentiality guidelines for all resident, property, owner, and Guardian information.
    5. Accurately record time worked and adhere to time keeping guidelines.
    6. Establish and maintain collaborative working relationships between departments and with coworkers.
    7. Constantly strive for improvements in work process and results to better meet resident needs, ownership goals and objectives, and company standards and expectations.
    8. Build relationships with sites by evaluating and providing mentorship to staff.
    9. Other duties as assigned by the Director of Maintenance.
Responsibilities and Duties:

A. Building Systems and Safety Protocol

  • Review and visit all sites with building systems focusing attention on sites with larger advanced building systems.
  • Maintain a monthly Excel tracker of building systems and maintenance programs for building systems.
  • Oversee all sites Guardian Redbook of Property Knowledge compliance and updates.
  • Ensure all sites are using and stocking site Safety Zones consistently and accurately.
  • Maintain regular contact with site maintenance staff through site visits, emails, phone calls and team meetings.
  • Coordinate maintenance team training opportunities for safety protocol, inspections, work orders, turnover process, skill building, and building systems basic maintenance needs.
  • Assist sites with preventative maintenance inspection (PMI) process to help them maintain 10% PMI completion monthly for the first 10 months of the year.
  • Create clear and accurate inspection reporting on building systems, Safety Zones and Guardian Redbook of Property Knowledge.
B. Assist sites that will need building systems repair and improvement projects over $10,000 working with the Director of Maintenance and Regional Maintenance Supervisors to complete the oversite of these projects:
  • Work with the Regional Maintenance Supervisors to understand and define the scope of work, obtain bids and provide recommendations to Portfolio Managers. Compare scope of work and ensure that work and pricing are accurate.
  • As needed, engage expert consultants, such as architects and engineers.
  • Review estimates and proposals and verify contractor compliance and experience.
  • Coordinate with consultants and Guardian team members, review pay applications and project schedules, regularly review work in progress and completed work under the guidance and supervision of the Regional Maintenance Supervisors

C. Inspections

  • Create work plans with Portfolio Manager and site staff in preparation of inspections, such as all agency inspections, i.e., REAC and Physical MOR inspections.
  • Ensure that unit preventative maintenance inspections (PMI’s) are occurring regularly and that identified repairs are being completed.
  • Oversee Yardi Inspection Mobile process.

D. Identify property needs, conduct performance and work quality evaluations of maintenance and repairs completed by maintenance staff and vendors.

  • Record and track all sites with building systems.
  • Record and track all maintenance contracts for sites that have building systems.
  • Identify hazardous community conditions and repairs needed in the areas of building systems and communicate with site staff and Portfolio Managers.
  • Provide immediate assistance or instructions for plumbing leaks, unsecure doors, and emergency repairs and situations.
  • Ensure all properties have a Property Maintenance Schedule, are following the schedule, and accurate records are maintained for building systems and safety needs.
  • Ensure all properties have a current Emergency Procedures Manual (Guardian Redbook of Property Knowledge) that is accessible for emergency personnel and Guardian.
  • Properties are maintaining equipment and have the appropriate cleaning materials, safety equipment, and tools.
  • Document and report performance concerns with building systems vendors, assist site staff and Portfolio Managers to address deficiencies, and bring to the attention of the Director of Maintenance.
  • Conduct maintenance shop inspections to maintain standards.
