SUMMARY:

MV Ventures (“MVV”) is seeking a dynamic Administrative Assistant to provide support to the organization and

excellent customer service to our team, partners, and stakeholders. We are looking for a master multitasker with

amazing communication skills and a can-do attitude. Along with a helpful and positive presence in the workplace, our

ideal candidate would have a passion for professionalism, productivity, and organization. As the MV Ventures

portfolio expands, there will be potential for growth with this position.


ROLES AND RESPONSIBILITIES:

First Impressions – Greet & assist all guests and vendors, maintain appearance of front desk and office,

phone screenings and email review, routing to the appropriate parties

Calendar Management – meeting, interview, & event scheduling, room reservations, resolving calendar

conflicts, maintaining agendas, manage travel and hotel arrangements

Office Set Up – Organize and maintain employee desk layouts and setup, maintain office supplies inventory,

vendor lists, maintenance tasks, and service requests, assist with sourcing and procurement

Department support – provide support to all departments, with a focus on HR/Operations and Construction

Construction Department duties include assembling and managing subcontract agreements, change orders,

drawings, specifications, RFI’s, submittals, punchlists, invoicing, lien waivers, and project close-out

Community Interaction – Provide positive and professional communication via phone, email, social media,

website, etc., represent MVV with other community entities, at events, and throughout campus

Employee Engagement – Assist in facilitating and/or providing training (including orientation) to employees,

assist with planning and execution of company-wide events, trainings, meetings, etc., assist with job

postings and interview processes

Other – Special projects and other work functions as directed


EXPERIENCE AND TECHNICAL KNOWLEDGE:

2+ years of experience in an administrative role, with multi-departmental support

Ability to work in a fast paced environment, expect the unexpected

Excellent attention to detail, professional curiosity, and resilience

Desire to be proactive, anticipate problems by bringing solutions, and create a positive experience for others

Strong commitment to diversity, equity, and inclusion, and proven ability to work effectively with a diverse

group of employees at all levels in an organization

Strong verbal, written, and interpersonal skills with a proven track record to build trust and rapport quickly

Must possess a high level of integrity, professional composure, and confidentiality in all situations

Some college or related professional training required; Bachelor’s degree preferred

Proficiency with Microsoft Office 365 suite

Experience with Construction processes, software such as Procore, Bluebeam preferred but not required


PHYSICAL DEMANDS:

Must be able to lift, push, pull and/or move up to 30 lbs. Will be seated during majority of workday, though

will be on your feet and mobile for extended periods depending on job duty.

Regularly performs computer work and operates office equipment.
