Job Summary

Medical Coordinator will compile, process, and maintain medical records, of the person(s) served in a manner consistent with medical, administrative, ethical, legal, and regulatory requirements of the health services department. Report patient information for health requirements and standards. Medical Coordinator is the key monitor of patients' health through observing and assessing their records, symptoms, and reactions to treatment and care. They often have extensive interaction with patients' families as well, guiding and instructing them in aftercare measures.

Essential Functions:

  • Responsible for coordinating medical, dental, and mental health services to meet the needs of the children and ensure that all new arrivals receive their initial medical assessments within 48 hours as required by ORR.
  • Obtains and records patient medical histories, vitals, test results, and other information for medical records while maintaining strict confidentiality.
  • Coordinates the daily administrative activities, including scheduling and patient medical record maintenance.
  • Prepares treatment rooms for clinical examinations and assisting practitioners with medical procedures and other patient care.
  • Ensures compliance with all health care regulations, including HIPAA and OSHA.
  • Prepares and administers medications for patients as directed by physicians.
  • Implements physicians’ orders, administer medications, start IVs, perform treatments, procedures and special tests, and document treatment as required by company policy and local/state/federal rules and regulations.
  • Provide primary and emergency care for occupational and non-occupational injuries and illnesses.
  • Administer over-the-counter and prescription medications as ordered.
  • Collaborate with the nursing team to create a plan of c are for all patients.
  • Direct and guide ancillary personnel and maintain standards of professional nursing.
  • Patient report transcription from physician record.
  • Coordination and management of patient medical records.
  • Maintain all diagnostic filing, electronic, scans and hard copy documentation to the current chart, including but not limited to results, physician appointments and follow ups.
  • Assures charts and/or files are purged on a regular basis, monthly and/or as required.
  • Build and maintain relationships with federal agency representatives that assist in improving grant application and project execution.
  • Responsible for reporting requirements under the program for the health care department.
  • Participate in the selection, on-boarding and training process for medical services staff.
  • Other task and responsibilities as assigned.

Qualifications and Requirements

  • Level: Bachelor of science degree in nursing (BSN)
    • Registered Nurse or an equivalent medical practitioner, physician’s assistant, nurse practitioner or certified medical assistant is preferred.
    • 1- 2 years of experience working in a residential setting
    • 2 years of experience of a supervisory and management role.
  • Equivalent experience: Associate degree in nursing (ADN), or a diploma in nursing.
    • Bachelor of Science degree in Nursing (BSN)
    • Licensed Vocational Nurse (LVN) or Licensed Practical Nurse (LPN) or Licensure according to State requirements with 2 years of nursing experience in an outpatient, assisted living, hospital, or public health/community setting
    • Associate degree in Nursing (ADN), or a diploma in nursing. At least 3-5 years of experience in a similar role
  • PLEASE NOTE: MUST BE WILLING TO BE TRAINED AT OTHER LOCATIONS (77033 AND 77035) - LENGTH OF TIME TO BE DETERMINED UPON HIRE

Working Conditions/Physical Effort

Work is performed mostly in an office setting. Some overnight travel, public speaking, evening and weekend work are requirements of the position. Regular computer works also required. While performing the duties of this job, the employee is required to stand; walk; sit; finger, handle, or feel objects, or controls; reach; climb stairs; balance; stoop, kneel, or crouch; talk and hear. The employee must occasionally lift and/or move up to 20 pounds .Are exposed to diseases or infections on a daily basis. Always wear masks or rubber gloves to protect themselves and their patients from disease. Usually work indoors. Work very near patients and doctors. They come into physical contact with patients throughout the day. Usually wear a uniform or lab jacket. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
